JOB SUMMARY
Under the direct supervision of the Fitness Assistant Manager, the Membership Team Leader is responsible for the supervision of Fitness Memberships sales and operations, including: lead generation and follow up, prospect tours, meeting established membership goals, new member registration, payments, deposits, electronic fund transfer batch renewals, record keeping, and related budget preparations. Also, this position is responsible for membership duties, which includes scheduling, supervising, and training Fitness Customer Service Staff, maintaining a membership filing system for new and current members; membership reporting; preparing and sending out all the necessary materials for renewal letters; keeping track of past due accounts and expired credit cards. Additionally, this Team Leader is responsible to act as a manager on duty for Pavilion Fitness, as needed.
ESSENTIAL JOB FUNCTIONS
- Maintain communication link between Fitness Center Members and Guests, Fitness Center Management Team, Fitness Center Equipment Maintenance, Fitness Customer Service Staff and Customer Service Staff.
- Manage fitness member registrations, data entry, renewals, cancellations and files for new members and refunds.
- Responsible for preparing all the necessary materials for renewal letters (copy applications, copy monthly specials to include with renewals, prepare prepaid envelopes and prepare outgoing envelopes.
- Coordinate membership billing, collection of fees, correspondence, and account information.
- Responsible for communicating accurate information to prospects and new members, including fees, service amenities, hours of operation, fitness policies, and related program information.
- Responsible for keeping track of the Past Due Accounts Report: sending letters/emails to past due accounts, posting alert texts on accounts, freezing memberships if needed and sending personalized letters to every withdrawn member regarding their accounts.
- Responsible for contacting all new members; monitoring satisfaction with the membership/facility and responding to concerns or questions they may have.
- Responsible for membership paperwork and payment processing at new member sign-up
- Assist the other leadership team members in introducing and implementing new programs/service at the Fitness Center.
- Occasionally work with the Park District Registrar and Accounts Payable positions to maintain efficient billing and accounting practices.
- Responsible for cash transactions, receipts, deposits and point-of-sale operations for fitness membership operation.
- Perform the job safely and in compliance with district policies, procedures, work and safety rules.
- Be familiar with the safe operation of any equipment necessary in accomplishing required tasks.
MINIMUM QUALIFICATIONS
- Ability to work with program budgets.

- Ability to maintain positive and effective working relationships with other employees.
- Must be flexible to work as assigned during all facility hours of operation.
- Demonstrate the ability to effectively communicate verbally and in writing.
- Demonstrate knowledge of general office safety.
- Demonstrate excellent general office and organizational skills, including cash handling, budgeting, cash reconciliations, billing, filing, and use of standard Microsoft computer programs (Word, Excel, Outlook).
- Willingness to be CPR and AED certified.
- Good knowledge of pertinent safety precautions.
EDUCATION AND EXPERIENCE
- Preferred experience in fitness membership services or related field.
- High School Diploma is preferred
- Completion of College course credits in business, accounting, or office management is preferred.
