Position Title:Meetings and Events Logistics Manager
Job Description:
We are seeking an experienced and detail-oriented individual to join our team as a Meetings and Events Logistics Manager. In this role, you will play a crucial part in supporting event design, facilitating seamless in-person and virtual meetings, and ensuring all logistical elements are executed flawlessly, particularly within the government sector. Key Responsibilities (to include ability to travel as required for events):
1. Event Design Support:
- Collaborate with event organizers to contribute to the design and planning of Meetings and Events.
- Provide insights and recommendations for enhancing the overall event experience.
2. Facilitator Support:
- Assist and support event and meeting facilitators in delivering impactful presentations and sessions.
- Ensure facilitators have the necessary resources and materials for successful event delivery.
3. Logistics Coordination:
- Coordinate all logistics for Meetings and Events, including travel arrangements, venue selection, and hotel booking.
- Work closely with relevant stakeholders to ensure logistical details align with government regulations and requirements.
4. Vendor Management:
- Select and manage all event vendors, negotiating contracts, and ensuring they meet government compliance standards.
- Oversee vendor relationships and coordinate their contributions to the success of each event.
5. Travel Reimbursement:
- Execute travel reimbursement processes for event attendees, ensuring compliance with government policies.
- Manage reimbursement documentation and facilitate timely payments.
6. In-person and Virtual Meeting Coordination:
- Coordinate both in-person and virtual meetings, with a focus on managing high participant counts.
- Leverage experience with virtual breakout rooms to facilitate engaging and interactive virtual sessions.
Required qualifications to be successful in this role:
- Minimum 3 years proven experience in event logistics management, particularly within the government sector.
- Ability to travel as required for events.
- Strong organizational and multitasking skills, with an eye for detail.
- Excellent communication and interpersonal abilities to collaborate with diverse stakeholders.
- Familiarity with government regulations and compliance standards related to Meetings and Events.
- Proficiency in managing in-person and virtual meetings, including experience with breakout rooms and high participant counts.
SECURITY CLEARANCE REQUIRED: Must be able to obtain a Public Trust clearance. US Citizenship is a requirement for a Public Trust clearance at this location.
Job Type: Full-time
Pay: $70,000.00 - $72,000.00 per year
