Job description

We are an Integrative Health & Wellness medical office that is rapidly growing and evolving to meet our patients needs and concerns. We're looking for highly motivated individuals who thrive in a fast-paced environment. Our receptionists are the backbone of our office infrastructure and play a vital role in shaping a great in-office experience. They navigate the patient experience from start to finish. Engagement and communication with patients and colleagues will be of the utmost importance to ensure a proficient workflow. Required skills include critical thinking, problem-solving, and the ability to be flexible and to adapt to unforeseen changes.

Communication and Interpersonal Skills: Verbal and written forms of communication will be required as a receptionist at Coastal MD and will be used daily. You will be expected to clearly communicate with patients, on behalf of patients, with other members of your department, and with the clinical staff and management. Unfortunately, sometimes the requests and demands of patients cannot be met; your ability to politely respond and willfulness to find a solution to their concerns/complaints will be required.

  • Patient Engagement: Provide excellent patient engagement by being friendly, approachable, and helpful. Offer your best efforts to ensure that patients feel welcomed
  • Proficiently field patient questions/inquiries about the practice’s offerings
  • Enthusiastically engage with patients regarding practice offerings as well as promotions
  • Know where to seek answers about pricing and to be able to offer out of pocket solutions if not covered by patient’s insurance
  • Verbal Communication: Clearly and effectively communicate with visitors, patients, and colleagues
  • Tone of Voice: Speak clearly, enthusiastically and at a reasonable volume.
  • Written Communication: Ability to compose professional emails, messages, and other written communications
  • Empathy: Seek to understand and respond to the needs of in-office patients or callers in an empathetic manner
  • Team Collaboration: Support is one of Coastal MDs core values which is extremely important. The ability to support each other and be a team player is vital to the receptionist role. This will involve:
  • Being part of team meetings with the opportunity to collaborate and exchange feedback
  • Projects to work on collectively
  • Being flexible and supportive in covering other shifts for coworkers and assist in CoastalMD events if available

Professionalism: As an employee of Coastal MD you will be representing Coastal MD when you’re working as well as when you are not in the office. Strive to create and maintain a professional relationship with co-workers and patients.

  • Dress and Demeanor: Maintain a professional appearance and demeanor in all interactions, both with patients and other colleagues
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality while following HIPAA guidelines.

Technology Proficiency: In the medical field, technology is constantly evolving and changing. We strive to incorporate cutting edge technologies for our patients and introduce new technologies/apps to staff to improve the needs of day-to-day functionality and workflow.

  • Proficiency and comfort in standard office technology
  • Phone systems, Google Docs/Drive/sheets, EMR, Coastal MD App, Pay Terminals, Reward programs, etc
  • Learning Agility- Quickly learn new systems or processes as needed
  • Ability to adapt, evolve and learn with technology changes
  • Navigation of EMR system- scheduling, processing payments, processing insurance

Organizational Skills: Coastal MD is a fast-paced environment and frequently patients will arrive for their appointments while the phone is ringing and other patients are checking out.

  • Time Management: Ability to see the tasks needed to complete for the day, prioritize and communicate with other employees to complete these tasks efficiently and correctly.
  • Attention to Detail:
  • Accuracy: Ensure that patient information such as contact details, insurance, and appointments are recorded accurately.
  • Documentation: correct documentation/postings in patient charts
  • Scheduling: ensure that the schedule is appropriate and running smoothly at all times
  • Multitasking:
  • Handling Phone Calls: Manage incoming calls, transfer calls, and take messages while handling other responsibilities.
  • Greeting Patients: Welcome and assist patients while managing other duties.

Critical thinking, Problem Solving - There can be unexpected situations, last minute changes and high-priority requests vs non-emergent requests that arise throughout the week/day. Your ability to discern and prioritize events/issues to efficientlysolve problems independently is important.

  • Foresight: Ability to visualize ahead of time and take initiative to revise before a problem arises
  • Adaptability: Accepting change and embracing new ways of doing business
  • Flexibility: willingness/openness to changes to meet the demands of the office

Daily tasks of Reception

Opening the Office

  • Checking Voicemail, Email and Faxes.
  • Preparation of schedule for the day

During Shift

Answering and delegating calls

  • Ensuring patient charts are up to date and accurate
  • Checking patients in and out
  • Collection of all fees (processing payments)
  • Scanning office documents
  • Running patient benefits through insurance companies

End of Day

  • Clean and organize front office/ waiting room
  • Prep for next day

Job Type: Part-time

Pay: $18.00 - $22.00 per hour

Expected hours: 12 – 22 per week
