Job description

Resilient Health is a unique practice offering a blend of precision medicine, integrative medicine, and concierge services in a lovely office setting in Austin. Resilient Health is looking for an outstanding versatile Medical Practice Manager to fill this important role. This position supports a wide range of human resource functions by providing front-line response, oversight of daily non-clinical practice operations, and patient flow. The Medical Practice Manager engages in leadership decisions to ensure the continued delivery of high-quality patient care and engagement while maintaining a state of profitability and growth, and compliance with state and governmental regulations. This position is responsible for the management of office administrative personnel and engagement with office medical staff personnel. This position is an in-office position Monday through Friday 8 am to 5 pm. Practice is a hybrid model that includes membership fees as well as insurance.

Requirements Education/Experience
Requirements include a bachelor's degree in health care administration, business administration, or a related field, a minimum of 5 years of experience, 2 years in a supervisory or management position, and excellent communication and people skills. Preference will go to candidates with over 6 years of experience. Must feel comfortable talking with patients and families about programs and services not covered by insurance and have outstanding customer service skills as well as knowledge of HIPAA, OSHA, CLIA, and labor law regulations. Knowledge and experience in aspects of billing and commercial insurance a plus. Interest in integrative medicine and living a life dedicated to health and wellness a plus.

Duties and responsibilities include the following:

  • Responsible for the financial management and financial performance of the Medical Practice to maintain a state of profitability and growth.
  • Responsible for the day-to-day operations of the Medical Practice.
  • Responsible for overseeing front desk operations as backup support when needed.
  • Supervises and ensures adherence to Company culture, policies, procedures, and standards regarding quality assurance, customer service, registration, productivity, confidentiality, data entry, record retention, charting, billing and collection, cash posting, and the physical facility.
  • Maintains efficient patient care flow through a team approach by planning and implementing appropriate patient and staff scheduling in conjunction with clinical staff leadership.
  • Oversees appropriate scheduling of patient visits and smooth, efficient clinic flow to maintain a workflow that supports the financial stability of the practice operation but also patients and physicians so that the highest quality of care is maintained.
  • Supports patient questions and potential patient questions about financial aspects of membership and coverage that are not answered or unable to be answered by the new patient coordinator.
  • Accountable for internal and external customer service, including troubleshooting when there is a complaint, and proactive process improvement address.
  • Develops and maintains productive relationships through effective and timely communication with internal departments and external vendors
  • Responsible for holding staff accountable for data accuracy and productivity, efficient workflow, measuring indicators and analyzing processes to improve practice flow and performance.
  • Assists in the recruitment, onboarding, performance evaluation, and offboarding process of staff to build and maintain a team that delivers the highest quality of service and care.
  • Supervises inventory, ordering and control of all medication, supplies, supplements and equipment needed to deliver practice services.
  • Ensures compliance with all federal, state and local regulations related to the operations of the Medical Practice.
  • Ensures compliance with HIPAA, OSHA, labor laws, and confidentiality policies in dealing with customers and staff.
  • Coordinates internal and external meetings, physician on-call schedules and physician CME/conference attendance.
  • Analyzes data from practice to evaluate for trends in growth and productivity.
  • Responsible for helping create growth opportunities and bringing new services to the practice as appropriate.
  • Recommends and develops new approaches, policies, and procedures to continually improve the efficiency of the practice and the services performed.
  • Full profit and loss responsibility for the clinic. Providing monthly profit and loss review with management and with providers as indicated.
  • Responsible for working with advertising/ marketing and patient onboarding professionals so that provider schedules are maintained at appropriate levels.
  • Travel as needed to meet business objectives (estimated travel is < 10%).
  • Other duties as assigned.

Compensation: commiserate with experience – 75k-85k; PTO, 401k.
