SUMMARY: The Practice Administrator is responsible for the global day-to-day operations of the practice. Ensures the goals of the practice are met in the most cost-effective manner while promoting the best patient care that can be provided. The Practice Administrator facilitates an environment that encourages cohesive teamwork to support the physicians and physician extenders of the practice to achieve productivity goals. Responsible for the overall management and supervision of administrative and clinical personnel. Development and oversight of policies that promote an effective and efficient workplace.
Strategic Planning/General Responsibilities
- Develop and promote practice growth and improvement strategies. Analysis of new and existing lines of service with regard to risk management, financial analysis, resource allocation, patient communication and outreach.
- Collaborate with partner physicians and advisors to develop business strategies and patient services for additional revenue streams.
- Work with physician partners to prepare an agenda for the Provider Business meetings for distribution to all providers four days in advance of the scheduled meeting.
- Attends group’s Provider Business meetings. Facilitate data gathering and presentation. Document and distribute minutes in a timely manner. Develop and assign tasks for implementation of decisions made at meetings.
- Serve as the primary point of contact for practice.
- Manage legal and regulatory oversight including assessing security, obtaining business licenses, managing and upgrading technology as needed, and assessing and implementing accreditation standards. Maintain office compliance with all relevant laws and standards.
- Manage daily practice operations.
- Directly supervise and manage Departmental Team Leads.
- Propose efficiencies to partner physicians that highlight financial costs and benefits for the practice.
Financial Responsibilities
Ensures maintenance of a continuous and accurate cash flow. Gathers and analyzes financial and production data. Ensures accuracy and transparency of data when communicating to stakeholders. Presents data in a productive manner that promotes business and clinical decision making for the practice.
· Establishes and monitors charge entry processes for accurate and timely filing.
· Ensures Accounts Receivables performance consistent with industry and specialty standards.
· Makes certain providers are appropriately credentialed with appropriate payers and facilities
· Establishes appropriate processes to close month end.
· Reconciles Accounts Receivable, Collections, Bank Account, Credit Balances, Charges by provider and location
· Work with physician partners, accountants, and financial advisors to develop a yearly budget due at the first Partner Meeting in the month of October.
· Conduct an annual review of all recurring membership fees and subscription services to evaluate cost effectiveness, necessity, and quality of service.
Personnel
Provides sufficient staff levels for activities in both administrative and clinical functions. Provides training and support for personnel to attract and retain quality personnel. Coordinates oversight of staff scheduling to ensure all necessary administrative and clinical duties are covered.
· Assess Practice needs to make recommendations for appropriate staffing levels
· Oversees hiring process to ensure candidates are screened, interviewed, and hired with applicable approvals and clearances for regulatory compliance.
· Maintains responsibility for appropriate onboarding, training, and as appropriate, terminations for all employees.
· Facilitates timely performance reviews, salary adjustments, and ongoing feedback for all employees.
· Retains responsibility for complete and accurate administration of all employee benefit plans including group insurance, retirement benefit plans, and paid time off, etc.
· Directs payroll processes and administration.
· Ensures compliance with employee contracts.
Compliance
Oversees activities and programs to ensure that group follows applicable federal, state and local regulations, including but not limited to HIPAA HITECH Privacy and Security, OSHA, and Corporate Compliance. Maintains compliance with accrediting organizations.
Facility Management
Coordinates facility services to provide a safe, comfortable, and functional work environment for patients and staff.
· Provides and controls materials, supplies, and equipment to insure the cost-effective and proper functioning of the clinic and organization.
· Maintains appropriate support relationship with external vendors to support telephones, plumbing, HVAC, structural, grounds maintenance, and cleaning.
· Facilitates and maintains service contracts on clinical equipment.
· Maintains working relationship with external IT consultants to ensure highest possible IT efficiencies, safeguards, and security.
· Facilitates and maintains warranties on all hardware and software.
External Programs
· Cultivate vendor relationships, negotiate contracts (with direction of partners), and ensure cost-effective agreements while securing a stable supply of resources.
· Works with external financial advisors to identify, propose, and implement solutions for advancement of the practice of medicine.
Marketing
· Coordinates and conducts marketing efforts to promote the practice’s brand and expertise, referral relationships, patient base, and online presence.
Minimum Requirements
· Healthcare or business degree with master’s level degree preferred.
· Minimum 4 years’ experience in healthcare administration or healthcare delivery setting.

Pay: $90,000.00 - $115,000.00 per year
