Job Description
Medical and treatment Assistants serve as liaisons between medical providers (prescribers) and patients; they facilitate a wide range of patient services, including, but not limited to, the coordination of prescribed medication, schedules, and treatment tasks in an organized, productive, and efficient manner.
Reports to: Operations Manager
1. Responsible for the check-in/check-out process of patients, including (but not limited to) explaining services, collecting co-pays, recording patient vitals (urine/spit/swab and related tests), connecting patients with providers, preparing visit notes, and facilitating provider recommendations (pharmacy, referrals, and/or lab orders).
2. Schedules and confirms follow-up appointments on and before the appointment date and provides patient instructions for appointment type. Helps to maintain providers' schedules and address gaps and cancellations. Politely informs patients if providers are running late or if appointments must be rescheduled due to unforeseen circumstances.
3. Responsible for coordinating Prior Authorizations (PAs) for medications with insurance companies and pharmacies, as well as resolving questions and issues regarding PAs.
4. Regularly verifies and updates the following: patient chart scans, patient demographics, insurance information, pharmacy information, messages in "flagged charts," calendar appointments, clinical messages, and releases.
5. Communicates professionally and HIPAA-compliantly with patients and community partners via phone, fax, and (limited) email. Retrieves and responds to voicemails. Responsible for resolving issues to the best of their ability before routing to another department or staff member.
6. Responsible for the organization, inventory, and distribution of the medication sample supply and the accurate record keeping of the Medication Log. This includes the requirement to keep medications secure behind two different locking mechanisms.
7. Follows established protocols for new patient intake forms, medical records requests, patient requests for documentation/forms, incident reports, and other clerical forms completed by the patient or CCS staff.
8. Follows and maintains the front desk's processes, protocols, and systems to ensure compliance with medical, behavioral health, safety, and hygiene standards guiding employees and patients/clients.
9. Regularly maintains and organizes the waiting area or areas or selected patient care areas (vitals area, medical providers room); reports safety or cleaning concerns to Management.
10. Attends and participates in required training and staff meetings in addition to the Medical Team Meetings or other meetings as assigned.
11. Responsible for other duties as assigned by Management, as this is not an exhaustive list of all the job duties that may be required.
Required Qualifications:
- At least one year of post-secondary education (associate or equivalent preferred).
- Experience with clerical work in health care, medical offices, and behavioral health.
- Excellent customer service skills in a fast-paced office setting.
- Understands basic finance and business skills.
- Is bilingual in Spanish and English, with conversational solid skills in both (required).
- Possesses word-processing skills.
- Possesses a strong ability to multitask (data entry while speaking with clients/patients on the phone or in person).
- Is organized and punctual.
- Can receive constructive feedback, ask questions, and work collaboratively.
- Completion of Medical Assistant training/certification (preferred)
- Pass a background check (for FL Medicaid level clearance) and drug urine screening.
