    • Position Summary
    • (Classified as: Administrative Support Coordinator II)
      Full-time position available on or after April 2, 2024 in Masters of Business Administration.
      Under general direction of the Director for MBA Graduate Programs, this position serves as a knowledgeable resource for campus policies and procedures, responding to inquiries professionally, and independently handling correspondence. Additionally, the incumbent will be responsible for record-keeping, data management, logistics coordination, and personnel support tasks, contributing to the smooth operation of the department.
    • Job Duties
    • Duties include but are not limited to:
      • Supports the day-to-day operations of the MBA programs with respect to student recruitment, admission, and matriculation, faculty and staff relations, and general administrative office support and management.
      • Respond to inquiries (in person, by phone, and email) promptly and professionally.
      • Coordinate new student orientations.
      • Assist department visitors and/or direct them to the appropriate offices.
      • Serve as a resource to the campus community, students, and public regarding campus policies and procedures as they relate to the program admission, enrollment, and graduation.
      • Collect program application materials, review for completeness and collaborate with Graduate School, CAPE, and Enrollment Services in processing applications.
      • Assist the director in reviewing program application materials and candidate assessment.
      • Create and maintain CRM files and program reports on prospects, students, and graduates.
      • Review graduation clearances, recommend students for academic honors
      • Coordinate, schedule, record, and distribute department meeting agenda/minutes; follow up on action items.
      • Responsible for timely review and distribution of mail.
      • Draft clear, concise correspondence independently given minimal details.
      • Prepare a variety of program related reports and documents.
      • Coordinate logistics for specials events and program activities.
      • Responsible for purchasing and maintaining office supplies and machinery.
      • Process and monitor purchase orders.
      • Maintain department program website.
      • Provide support for marketing and promotional communications.
      • Participate in regular department meetings.
      • Support outreach events, seminars, workshops, and symposiums by preparing materials, coordinating logistics, and assisting with guest speaker arrangements.
      • Assist with course schedule planning. Track course enrollments and program/course changes for catalog revisions and faculty workload changes. Ensure proper dissemination of updates to appropriate campus faculty, staff and students.
      • Initiate and monitor recruitment processes for student workers.
      • Provide lead direction, training, and guidance to assigned administrative support student workers. Monitor timely completion of assignments.
      • Assist with preparing work schedules for student workers.
      • Verify and maintain timesheets for student workers.
      • Maintain office and program budgets.
      • Monitor expenditures and funding for various account charges including but not limited to: supplies, services, travel and special consultant assignments.
      • Assist with travel arrangements and travel expense reconciliations.
      • Other duties as assigned.
    • Minimum Qualifications
    • Education: Completion of a high school program, technical/vocational program, or their equivalents.
      Experience: Several years of related office work experience.
    • Preferred Qualifications
      • Competency with Microsoft Office, Word, Excel, Outlook, PowerPoint, Zoom
      • Experience with PeopleSoft and Data Warehouse
      • Experience with Human Resources Information systems (HRIS)
      • Experience with Learning Management systems (LMS) like Canvas
      • Experience with Travel & Expense systems (T&E)
      • Experience working in higher education, preferably CSU.
      • Familiar with California State University policies and procedures.
    • Knowledge, Skills, Abilities
      • Experience to be fully functional in all technical aspects of work assignments.
      • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
      • Thorough mastery of English grammar, punctuation, and spelling.
      • Thorough knowledge of office systems and expertise in using office software packages, technology and systems. (May function as the office information technology specialist.) Ability to use and quickly learn new office support technology systems and software packages is a prerequisite.
      • Ability to independently handle multiple work unit priorities and projects.
      • Ability to interpret and apply a wide variety of policies and procedures independently, and use judgment and discretion to act when precedents or specific guidelines do not exist.
      • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
      • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
      • Ability to analyze operations and procedural problems and develop, recommend, and evaluate proposed solutions.
      • Working knowledge of budget policies and procedures.
      • Ability to perform business math, such as calculate ratios and percentages, track and analyze financial and/or budgetary data, and make accurate projections requiring some inference.
      • Ability to effectively write and present own reports.
      • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
      • Ability to use negotiation and persuasion skills to achieve results and expedite projects.
    • Special Conditions
    • Flexibility to occasionally work evenings and weekends as needed, with notice.
    • Salary Range
    • Anticipated salary will be $3,865 - $4,252 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full range: $3,865 - $6,336 per month)
