The Marketing Operations Coordinator is responsible for operations support in managing agency records including licensing, contract, and updates within Quincy Mutual’s portal. This position also includes responsibilities for preparing and updating materials for agency visits and presentations. The coordinator will work with Senior Management and Underwriting on projects such as quoting opportunities, Massachusetts Auto Insurance Plan (MAIP) processing, and competitor research. As the Marketing Coordinator is in frequent contact with senior executives, agents, and vendors, strong communications skills and a high level of attention to detail are a must.
This position currently follows a hybrid work schedule, with three in-office days. Tuesday and Thursday are Company anchor days, and the third day will be worked out with your manager.

Delivery and Productivity
· Manage agency files including the accurate processing of new agent appointments, preparation of contracts, licensing with state insurance departments and all appropriate data input to establish the agency on our system.
· Process agency changes and terminations as directed within required time frames.
· Prepare annual & bi-annual agency license renewals, including reconciling and submitting the reports.
· Assist Marketing reps in preparing reports for weekly agency visits, ensuring materials are provided to the agency contact and marketing rep prior to the meeting.
· Provide quoting assistance to Personal Lines Underwriting when book roll opportunities or agency prospects present themselves by entering quotes into Quincy Online and spreadsheets. This may also include occasional travel to agencies to perform the quoting in their office.
· Support Personal Lines Underwriting in processing Massachusetts Auto Insurance Plan (MAIP) assignments in high volume situations.
· Generate monthly, quarterly, & yearly reports for the Marketing team meeting department deadlines.
· Assist with agency compensation processing by making updates to commissions and yearly agency profit sharing.
Communication, Relationship Building and Teamwork
· Communicate with agencies and state insurance departments on licensing and contractual matters on a timely basis to ensure the company is in compliance with all requirements.
· Exercise sound judgment to escalate matters to department leaders and other stakeholders on a timely basis when needed, providing an appropriate level of detail.
· Periodic agency visits with marketing representatives to gain industry knowledge & build relationships. This may also include attending agency events after normal business hours.
· Provide ongoing support to the marketing staff regarding supplies and dissemination of materials.
· Assist the President/CEO, Executive Vice President(s), Marketing Vice President with other office related duties.
· Provide support and or back up to the Marketing Communication & Events Administrator on an as needed basis.
· Partner with Personal Lines Underwriting in coordinating and managing any agency audits, quality assurance reviews, etc.
Job Knowledge
· Act as a subject matter expert for requirements and software for agency licensing.
· Point person for agency contracts, both for new and existing agents.

EDUCATION:
- Bachelor's degree in Marketing, Business, or a related field.
SKILLS/QUALIFICATIONS:
- Excellent professional communication (verbal & written) and presentation skills.
- Demonstrated ability to exercise sound judgment.
- Ability to draft or prepare official documents that are grammatically correct, with ability to edit and proof read before distribution.
- Ability to take initiative, prioritize and multi-task to meet deadlines and deliverables.
- Ability to act with a high level of professionalism when dealing with departments across all lines of business and with external parties, including agents and vendors.
- Strong knowledge of MS Office suite (MS Office, Excel, Outlook and PowerPoint) & Windows Operating Systems, and video meeting technology.
