Work Schedule: Monday through Friday, 8:30 a.m. to 5:00 p.m.

Salary Range: $21.00 per hour

Department Summary & Job Purpose:

The Operations Coordinator will provide general administrative support to the Associate Vice President of College Relations Operations and day-to-day operational support for the division. The Operations Coordinator will prepare and maintain highly confidential material and files, assist in the development and implementation of regular ongoing activities such as budget tracking and staff onboarding, as well as independently manage special one-time projects as assigned.


The person in this position must be proactive and able to exercise good judgment in various situations. The ideal candidate will have strong communication, administrative, and organizational skills. This individual must have the ability to manage multiple projects simultaneously from conception to completion. It is essential that they can handle confidential matters with complete discretion.

 

Core Job Duties and Responsibilities: 

  • Complete a variety of administrative tasks for the AVP, including calendar management, completing expense reports, and compiling documents for internal and external meetings. 
  • Organize and execute office operations, including ordering supplies and equipment; liaison for work-study program; coordinate telephone coverage; maintain office telephone listing and staff emergency contact file as well as other general management support. 
  • Assist with developing and implementing onboarding processes for new staff, process documentation for new staff and assist with exiting staff/changes. 
  • Work with College Relations staff to maintain division intranet 
  • Assist with routine auditing and maintenance of college/division policies and process documents 
  • Compose and prepare correspondence, including confidential materials 
  • Participate in planning and project initiatives and liaise and communicate on behalf of the AVP 
  • Serve as backup to the Executive Assistant to the Vice President in providing administrative support to the Vice President. 

Qualifications:

Bachelor's degree required
Proficient in Microsoft Office (Word, Advanced Excel, Access, and PowerPoint), Adobe Acrobat
Occasional night and weekend work required
Excellent written and verbal communication skills.
Demonstrated organizational skills that reflect the ability to perform and prioritize multiple tasks
Excellent attention to detail
Strongly proficient in Microsoft Office and Google applications
Ability to learn new software and technology
Strong interpersonal skills and the ability to interact effectively with a wide range of individuals.
Demonstrated a proactive approach to problem-solving
Adaptable to various competing demands
Ability to handle confidential information with discretion

Physical Demands:

  • Sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.   • Employee operates office equipment and computers to perform essential duties and responsibilities.

Working Conditions: 

  • The employee is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work).
  • Protection from weather conditions but not necessarily from temperature changes. Activities occur inside and outside environments.
