Position Summary:
The Manager of Transportation Operations drives the development and implementation of the strategic plan, as well as monitors activity through other leaders within the team, the day-to-day activity of DOT and Non-DOT drivers. The Manager will manage by example and develop the leadership of the transportation team. The Manager will ensure Philabundance is compliant with OSHA, Serve Safe, Department of Transportation and other regulations, as well as ensure alignment with best practices for safe food handling and logistic best practices. The Manager will be a strong liaison with internal and external customers.
The Manager will establish performance metrics for the Transportation team and monitor activity and accountability. Employee metrics and requirements will support the overall Transportation goals, on time delivery, budgetary requirements, streamlining processes and adjustments to ensure efficiencies.
Primary Responsibilities:
• Establishes and maintains the smooth operation of the Transportation department. Manages the development of the annual budget, including monthly and quarterly reporting process of program outcomes and measurement. This includes forecasting and compliance.
• Maintains transportation metrics – total miles travelled/total miles travelled by driver.
• Manage compliance, maintenance and safety of a diverse fleet of vehicles: cars, box trucks, vans and semi-trailers.
• Monitors fuel audits, vehicle preventive maintenance and repairs, IFTA tax, and license and state inspections renewals, IRP commercial vehicle registration renewal, and annual file HVUT.
• Responsible to ensure there is continuous DOT and Non-DOT driver compliance safety training.
• Obtains positive results through team including on-time pick up delivery and collaboration to internal teams such as but not limited to, Food Sourcing, Warehouse, Inventory Control/Quality Control, Philabundance Community Kitchen and Catering, Home Delivery Program, Events and Development team.
• Predict immediate and future workforce needs to ensure appropriate support is available, this includes but is not limited to, work planning, attendance, performance, training, and staffing.
• Communicates expectations and trains others to ensure a high level of positive customer service; professionally communicate with customers/volunteers in a courteous manner and respect agency personnel and clientele.
• Ensures strong and effective communication within the team and with other departments as well as prepares reports, updates and educational information for the Chief Logistics Officer and Senior Leadership team.
• Ensures the health and efficiency of transportation team which includes but not limited ownership of: alignment with Department of Transportation (DOT) requirements, clean work environment, safety standards, responsible food handling standards, and collaboration with internal and external customers
• Executes solutions for problem areas, drives improvements and the resolution of roadblocks.
• Provides timely, accurate transportation reporting for engagement, quality, and safety, and can highlight trends, concerns, changes, and impact proactively.
• Owns level of excellence for the transportation team and the overall output. This includes but is not limited to evaluations, assessment of ongoing process improvement and Standard Operating Procedures (SOP) development; implements efficiencies and effectiveness through direct management team.
• Must wear uniform and safety gear, ensure team also aligns with this and other related requirements.
• Responsible for supporting and aligning with Philabundance Cultural pillars. Ensure communications, actions and interactions reflect a focus on People, Partnerships, Professionalism, and Progress.
Educational Achievement:
• High School Diploma or GED required. Education or experience equal to an associate degree, minimum of 4 years direct logistics, transportation, or fleet management experience.
• Serve Safe Certification preferred. Must be able to certify within 30 days of hire.
• Strong Knowledge of Federal DOT rules and regulations.
• CDL License preferred.
Work Experience:
• Minimum of 5 years transportation and logistics experience or related experience required. A minimum of 2 years dedicated to leadership responsibilities or equivalent required.
• Strong experience managing fleet of commercial vehicles.
• Successful experience with problem solving and possesses ability to stay nimble in an evolving environment.
• Previous experience owning and influencing a complex process to a positive defined outcome.
• Ability to manage and achieve on-time delivery standards and quality requirements.
Preferred:
• Experience in accounting, planning, analytical, and/or reporting experience; ability to identify financial issues and provide cost-effective solutions a plus.
