Job Summary:
Designs, coordinates, and implements Special Events and student organization activities for the Graduate School of Biomedical Sciences. This role will report to the Director of Student Success under the Office of Student Affairs.
Job Duties:
1. Coordinates and manages the development of Special Events, meetings, or conferences.
2. Determines event objectives, metrics of success, and requirements and provides advice and assistance regarding protocol, invitations, and logistics.
3. Develops and coordinates communications for events, including invitations, fliers, advertisements, and staff assignments.
4. Tracks attendance and implements ways to increase attendance, as needed.
5. Coordinates event set-up and ensures delivery and set-up of equipment, support materials and displays is performed.
6. Serves as primary liaison between clients and facility departments and/or contracted vendors.
7. Interviews, selects, negotiates costs and develops working relationships with external and internal vendors to serve as support entities for each event, including catering, decor/design, rentals, transportation, entertainment, and musicians.
8. Manages and oversees event budget, timelines, schedules of events and schematics for events.
9. Oversees the events and development of GSBS Student Organizations including, but not limited to, event review and approval, development and publication of handbooks, monthly meetings, and continuity planning.
10. Oversees and manages the financial activities of GSBS Student Organizations including, but not limited to, review and approval of Student Organization budgets, handling reimbursements, and support of Student Organizations with contracts and agreements with outside agencies.
11. Supports the Director of Student Success in production and distribution of a weekly GSBS events newsletter including producing written material recapping events for publication.
12. Assists the Director of Student Success and Assistant Dean of Student Affairs in scheduling meetings, student communications and meeting documentation.
13. Performs all other duties as assigned.
Education:
Bachelor's degree is required.
Experience:
Four (4) to Eight (8) years of experience in meetings and events industry, including progressive supervisory responsibilities is required.
Additional Licenses and Certifications:
Certified Meeting Professional certification is preferred.
