The Office of Information and Technology Services (ITS) works to build the capacity of schools to use information and technology, maintain network infrastructure, security standards, and support other departments to meet district goals. ITS provides innovative technology solutions that improve the quality of education for students, reduce the administrative burden on educators, facilitate parent interaction, increase community engagement, and support CPS' mission of transparency by focusing on the ease and equity of access to information.
Job Summary:
Reporting to the Director, IT Operations and Service Management, the Manager, IT Asset Management will lead a team to manage all asset management tasks including maintaining the software and hardware inventories throughout their corresponding life cycles. The Manager, IT Asset Management is responsible for maintaining compliance, licensing renewals, cost recovery, and service delivery activities from vendor to end-user securely and as expected. This role will design, develop, and implement CPS's asset management strategy and life cycle, from request to retirement.
The Manager, IT Asset Management will be held accountable for the following responsibilities:

  • Provide guidance, leadership, professional development, and direct supervision to the IT Asset Management team, including providing coaching, feedback, and performance management.
  • Ensure appropriate resources (people, tools, services) and processes are in place to gather and analyze data relating to technology asset life cycles and related processes.
  • Work with business stakeholders and asset owners to maintain and manage the accuracy, integrity, and completeness of the IT asset repositories (i.e., Configuration Management Database (CMDB) and the IT Asset Management Table).
  • Manage the distribution of devices to all of our school locations ensuring we have the inventory to meet all of our school's needs.
  • Serve as a liaison between the IT Service Management (Incident, Problem, Request and Change), IT Asset Management, Development and other Operations teams on all issues, changes, and requests.
  • Develop and promote effective Information Technology Asset Management (ITAM) strategies, policies, approaches, and best practices across the full range of digital technology assets used within the organization.
  • Manage the everyday functions of the core IT asset management team. This includes staffing, budgeting, and other relevant management functions required to hold all IT and business stakeholders accountable for optimizing the cost, risk, and benefit of digital technology assets throughout their life cycle.
  • Develop, maintain, and provide key metrics, dashboards, and KPIs.
  • Maintain hardware inventory of assets within the appropriate management systems and ensure assets are properly documented.
  • Establish and maintain processes to track software licenses, ensure compliance, and optimize software usage.
  • Collaborate with stakeholders on annual budget planning in relation to IT assets.
  • Identify opportunities for process improvement, cost savings, service efficiencies, and risk avoidance.
  • Participate in initiatives related to customer satisfaction, process improvements, service delivery enhancements, operational quality assurance, innovation, and automation.
  • Other duties as assigned.

In order to be successful and achieve the above responsibilities, the Manager, IT Asset Management must possess the following qualifications:
Education Required:
  • Bachelor's degree from an accredited college or university in IT, finance, engineering, business management, or a related field is required.
  • Professional designations/certifications including Information Technology Infrastructure Library (ITIL) v4 Foundation Certification, Certified IT Asset Manager (CITAM), and/or COBIT 5 Foundation, preferred

Experience Required:
  • Minimum of five (5) years of professional experience in IT, enterprise asset management, or information management, including the following, is required:
    • Minimum of five (5) years of experience managing a high-performing, cohesive team of direct reporting staff
    • ITAM experience (hardware or software) or experience working with IT asset management professionals to deliver ITAM capability and improved business outcomes

Knowledge, Skills, and Abilities:
  • Ability to effectively engage and collaborate with sourcing, procurement, and vendor management, business stakeholders, and frontline operational IT staff.
  • Ability to lead teams and build cross-organizational consensus with internal stakeholders and external partners, technology providers, and/or business clients.
  • Strong understanding of the technology asset lifecycle, business stakeholder's organizational hierarchy, essential services, asset inventory, licensing, and third-party/business partner landscape vendor ecosystem.
  • Understanding of IT asset risks, issues, auditing, and quality control.
  • Broad knowledge of the IT asset register (i.e., categories, types, models, etc.) and related processes or standard operating procedures.
  • Expertise with asset management discovery tools, and configuration management practices on the ServiceNow platform.
  • Demonstrated ability to manage assignments, deliverables, tasks, priorities, and projects in accordance with commitments, promises, and/or deadlines.
  • Excellent interpersonal, organizational, and customer service skills.
  • Excellent verbal and written communication skills.
  • Must be able to work effectively independently (self-motivated) as well as in a group setting (team player).
  • Solid project management, troubleshooting, problem-solving, and decision-making skills.
  • Detail-oriented, innovative, conscientious, and strong customer advocate.
  • Ability to work in a fast-paced, dynamic environment and able to handle multiple assignments simultaneously.

Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
  • Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
  • Be Fully Vaccinated Against COVID-19 - Unless approved for a medical or religious exemption, all employees are required to be up-to-date on COVID-19 vaccinations, including boosters, and to submit proof of vaccination to the district within 30 days of hire. "Up-to-date" on vaccination is defined as being at least two weeks past all primary vaccine doses and any applicable boosters.
