IT Asset Management Specialist
Chicago, IL (Hybrid)

We have an opportunity at our corporate offices in Chicago for a IT Asset Management Specialiston our IT Office team. This is a hybrid position reporting into our Chicago, IL office, requiring 1 day a week in the office.
As a IT Asset Management Specialist , you will b responsible for reporting and reconciling AMA's physical IT assets to FinanceFixed Asset System (general ledger). This position will lead the AMA's yearlytechnology refresh and annual equipment audits.
RESPONSIBILITIES:
Asset Management
  • Maintain an accurate inventory of all IT assets, including computers, and peripherals.
  • Develop and implement strategies to automate all of our Asset internal processes.
  • Maintain inventory: track devices by employee and report movement of assets to Finance as required.
  • Reconciling the IT System of Record to Finance Fixed Asset System (general ledger), collaborating with Finance to resolve issues.
  • Conduct regular physical and digital audits to verify asset location and status.
  • Inform business leaders across the AMA of IT Asset management policies and procedures.
  • Escalate requests for exceptions as they arise, identifying appropriate accommodations for approval by IT leadership or assisting business units in complying with IT's defined processes.
  • Train users on Asset Management processes and IT Fixed Asset Systems.
  • Collaborate with IT teams, departments, and external vendors to facilitate asset-related activities.

Retired Asset Disposal Process
  • Assure all retired equipment is accurately reflected in IT systems.
  • Inventory equipment to be disposed of. Coordinate with the disposal vendor on the pick up process and dates.
  • Work with Finance to ensure all asset disposal requirements are met.
  • Reconcile vendor/IT/Finance disposal lists and resolve any discrepancies.

May include other responsibilities as assigned
REQUIREMENTS:
  1. BS or BA degree or related field, or equivalent in work experience is required.5+ years' experience in an IT Procurement environment is preferred.
  2. Previous experience in Asset Management is required.
  3. Previous experience supporting Finance processes, including reconciliation and internal audits preferred.
  4. Experience in defining and documenting IT Processes.
  5. Advanced skills with Microsoft Office software such as Microsoft Excel and Windows applications are required.
  6. Demonstrate a personal commitment to a high-performance environment. - Communicate decisions and policies in a way that establishes understanding and commitment across the organization.
  7. Excellent and persuasive communication (oral, written, presentation), interpersonal, and consultative skills to work effectively with external customers and providers, and internal clients at all levels.
  8. Core consulting skills such as business writing and presenting and analytic comparisons.
  9. Ability to read, analyze, and interpret general business processes, technical procedures, and user documentation.
  10. Ability to develop and write reports, business correspondence, and procedure documentation.
  11. Able to communicate technical ideas and concepts.
  12. Proven self-starter with demonstrated ability to work independently and in a team environment.
  13. Ability to manage multiple assignments on a daily basis as priorities shift.
  14. Ability to lift packages of 50 pounds.
