This position works under the general supervision of the Chief, Medical Service but functions independently on a day-to-day basis. Duties
This position is located in the Medical Service at the Wm. S. Middleton Memorial Veterans Hospital, Madison, Wisconsin. This position works under the general supervision of the Chief, Medical Service but functions independently on a day-to-day basis. Applicant is responsible for independently developing work assignments, priorities, and internal systems for managing office operations.
Major Duties:- Collects, compiles and consolidates data in support of the service.- Assists in special projects and studies.- Prepares various administrative reports.- Provides assistant level support of management.- Uses a wide range of automated processing skills to include computer applications and word processing.- Assists management with reviews and analysis.- Interprets VA regulations pertaining to the work of the office.- Screens all communications by triaging calls and visitors.- Initiate responses for correspondence, forms and reports.- Assists in development and completion of staff schedules, to include daily staffing, on call and vacation schedules.- Works in collaboration with the Chief of Staff's credentialing and privileging coordinators; ensuring all licensed independent practitioners are processed in line with VHA directives and the medical bylaws.- Initiates recruitment paperwork and computer entries.- Maintains personnel folders for the non-physician Medical employees, service record cards and job descriptions/functional statements of the Medical service- Works closely with hospital staff in other departments in support of facility goals.- Coordinates and facilitates orientation of all incoming residents, and serves as a point of contact for issues relating to the residency program- Works in partnership with services across the organization to facilitate processing of residents into the hospital- Additional duties or tasks may be assigned by the supervisor to ensure efficient daily operations.
Work Schedule: Full-Time, Monday-Friday 7:30 am to 4:00 pm or 8:00 am to 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements within 15 days of the closing date of this announcement, 12/05/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Specialized Experience GS-7: At least one (1) full year of specialized experience in or related to the position. To be creditable, this specialized experience must have been equivalent to at least the GS-06 grade level in Federal service. For this position, specialized experience consists of: Performs general administrative support such as research and data collection, tracking and analysis to determine potential problem areas and makes recommendations for improvement. Communicates with other VA medical centers, federal agencies, or private sector facilities to obtain information for purposes of benchmarking best practices. Reviews documents and reports for accuracy, completeness and clarity, and enters pertinent information into an automated tracking system. Knowledge of VISTA applications including CPRS and VATAS. Prepares informational reports, briefings, and/or presentations from data collection/analysis for use by hospital leaders and others in evaluating program effectiveness. Performs database file searches. Knowledge of medical terminology and technical data.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary, but requires some walking, standing, bending, climbing and carrying light items such as papers and files. Long periods of sitting and using a computer screen and keyboard.
Work Environment: The work is performed in an office setting and includes the everyday risks and discomforts typical of offices and meeting rooms. Simultaneous us of phone and computer.

Education
There is no educational substitution at this grade level.
As a general rule, education is not credible above the GS-5 level for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. Additional information

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
