Maintenance Administrative Assistant

Position Summary: The purpose of the Administrative Assistant position is to assist with the day‐to‐day functions of the Maintenance Department. The primary focus of job is to support the Property Managers in all aspects of management pertaining to the property; which includes interacting with employees, contractors and vendors. The Maintenance Administrative Assistant is the liaison between the residents and the Property Manager for maintenance at their assigned community.

Reporting Relationship: Report to the Regional Manager

Essential Job Functions:

· Answer all phone calls and direct calls to the appropriate person.

· Write and close work orders for the Maintenance department, when instructed by a
Regional or Property Manager.

· Enter emergency maintenance tickets for technicians.

· Draft memos and/or making phone calls to residents related to preventative maintenance
scheduling.

· Issue keys to technicians/vendors, keep logs of who has keys and ensuring return of said
keys.

· Filing paperwork such as: lease applications, lease violations, backup copies of bills and all
other paperwork that needs to be filed and put away in the proper location.

· Perform inspections and replenish inventory where necessary.

· Occasionally assign work orders to technicians, only when instructed to do so by the
Property Manager or Regional Manager.

· Take notes at the monthly safety meetings.

· Perform all duties as assigned.

Qualifications/Competencies:

· High School Diploma/GED

· The ideal candidate will be proficient in the Microsoft Office Suite with an emphasis on
Excel, Word, and Outlook.

· Yardi experience is a plus.

· The ability to type a minimum of 45 wpm.

· The candidate must have experience associated with administrative duties and possess
strong attention to detail with the ability to prioritize and juggle multiple job functions.

· A strong background in customer service, some basic knowledge of property management
and experience in coordinating and scheduling are essential.

Job Type: Full-time

Pay: From $17.50 per hour

Expected hours: 40 per week
