Our Client, a highly regarded National IP Law Firm, is seeking a Legal Assistant (high preference for candidates with IP Experience) with 5-10 years of litigation support experience who can multitask and handle a variety of office functions in a fast-paced trial litigation law firm.
This position is multi-faceted and will offer the candidate opportunities to engage in several aspects of the firm’s operations and at times, provides high-level administrative support for all firm personnel. This position assists with all office functions and needs, and will perform administrative duties, such as, but not limited to, document word processing, expense reports, travel arrangements, and answering phones. All Legal Assistants provide back-up support to the main DC reception desk, and other general office services when needed.
The candidate for this position will also be required to travel to support and handle overall coordination and on-site logistics for trial teams.
Essential Job Functions and Responsibilities
•
Expert proficiency in standard document processing software, MS Office 365, Teams, Word, Excel, PowerPoint, Adobe, and overall internet savvy
•
Draft, edit, prepare, and manage correspondence, court documents, charts, spreadsheets, reports, expense reports and other documents; proofreading
•
Expert proficiency in Tables of Authorities (TOA) and Tables of Content (TOC)
•
Arrange, organize, and coordinate internal and external events, meetings, appointments, conferences, travel arrangements, and catering
•
Maintain schedules and calendars
•
Deliver for attorneys and legal staff incoming mail and other materials
•
Answer, transfer phone calls, take and communicate messages
•
Maintain filing systems
•
Assist with putting together binders
•
Operate standard office equipment, such as phones, computers, copiers, fax machine
•
Travel is required, such as for out-of-town trials
•
Support assigned attorneys, paralegal staff, and at times all attorneys as needs arise
Other Job Tasks and Responsibilities
•
Cover the DC reception desk and generally assist with any front desk duties whenneeded
•
Assist with the set-up and clean-up of conference and meeting rooms
•
Assist with maintaining general firm office supplies, including pantry supplies
•
Assist with maintaining and general up-keep of all firm common areas
•
Assist with ECF filings in various courts including multiple district and circuit courts
•
Help case teams with time management by volunteering with any administrative tasks
Qualifications/Education
•
Practical experience working as a Legal Assistant
•
Litigation [IP] experience
•
Associate degree or higher, preferred
•
Technical certification in areas of word processing, a plus
•
Previous trial support required
•
