Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
  • ALA-accredited master’s degree or equivalent in Library/Information Sciences focusing on archives and records management, plus 5+ years of progressively responsible work in archival administration
  • Proven ability to develop workflows and policies, and manage multiple priorities, projects, and stakeholders
  • Experience working effectively with internal and external partners
  • Demonstrated experience with current tools, methodologies, and best practices for arranging and describing archival and photographic materials
  • Advanced knowledge of digital repositories and related metadata standards.
  • Advanced knowledge of online access platforms such as ArchivesSpace, Islandora, and Omeka
  • Working knowledge of photographic processes
  • Experience supervising and directing the work of staff and students

Preferred Qualifications
  • Undergraduate or graduate degree in Photography or related field
  • Certification by the Academy of Certified Archivists (ACA)

Job Description
The Special Projects Archivist is responsible for planning, implementing, and managing Special Projects focused on improving access to and stewardship of The Wittliff’s archival and photographic holdings. This position reports to the Lead Archivist and collaborates closely with curators, archivists, and others on digital and other initiatives. The Special Projects Archivist also contributes to The Wittliff’s research, instruction, and outreach programs, and supervises student employees, graduate students, and interns on Special Projects.
This is a 2-year project position. If permanent funding becomes available, the status of the position can be re-evaluated.

Job Duties
Leadership & Collaborative Innovation:
Supervise student employees, graduate assistants, and interns; including hiring and training, planning, and assigning work, assessing performance, addressing performance issues, and resolving problems
Develop and refine training manuals, workflows, and procedures for student employees, graduate students, and interns, as well as colleagues in The Wittliff, as appropriate
Perform quality control on descriptive & digitization work submitted by student employees, graduate students, and interns

Project Management:
Work closely with the Photography Curator and Lead Archivist to identify, assess, and select collection material for description and/or digitization
Develop and implement project plans, schedules, and workflows for assigned projects
Maintain accurate and comprehensive documentation related to project activities and deliverables, and report out as requested to stakeholders
Ensure that projects have a marketing and promotion component, and work with The Wittliff’s marketing coordinator to implement it

Collection Management:
Establish administrative, physical, and intellectual control over incoming photographic or archival materials – both physical and digital
Rehouse, inventory, and conduct condition reports for photographic and archival materials
Physically prepare photographic and archival materials for digitization, including arranging, labeling, and performing routine preservation activities as necessary; and oversee student employees in this work
Coordinate with The Wittliff’s and University Library’s Digital Archivists on the long-term preservation of digital assets

Digital Access:
Collaborate with Wittliff archivists in developing, refining, and documenting metadata standards for online platforms such as ArchivesSpace and Islandora; ensure accuracy of descriptive, technical, and administrative metadata
Apply metadata standards to a variety of digital resources (collection and/or item level) for inclusion in The Wittliff’s online digital collections, and oversee students in this work
Contribute to The Wittliff’s selection of digital solutions and platforms for online access to holdings including digital collections, online exhibitions, and other outreach tools

Research & Instruction:
Engage with faculty, staff, students, and external researchers in reference consultations and outreach activities in support of scholarship and research
Create research guides and related tools that increase the discovery and use of Wittliff archives and digital collections
Contribute to The Wittliff’s instruction program by assisting with or leading tours, class sessions, and other educational endeavors, as requested

Professional Development:
Engage in activities to advance the profession, and to develop personal expertise to be applied towards work in The Wittliff
