We are hiring an Intake Specialist who can manage our high volume of inbound calls, emails, messages from potential clients. The mission for the role is to collect important information from new client calls, assess the circumstances, develop a sense of connection with a client through empathy and active listening. After the initial call, ensure that all important documents and information is collected and passed through to an attorney (for employment cases) or immigration guide (for immigration cases).

Location: New York City (Flatiron area). 5 days/week in the office

Responsibilities:

• Handle incoming calls and inquiries from potential clients as the first point of contact for immigration and employment matters
• Conduct initial screening and gather relevant information from prospective clients about their legal matter.
• Act as a gatekeeper, managing the flow of incoming cases and calls to ensure senior staff capacity is utilized effectively. Further, you must be comfortable screening calls and telling people “no.”
• Maintain detailed documentation and case notes in the firm's intake system.
• Exhibit an energetic, driven and entrepreneurial approach to maximising potential client conversions.
• Demonstrate the ability to engage clients, build rapport and handle high call volumes efficiently.
• Stay up-to-date on the firm's service offerings to accurately assess case fit.
• Collaborate with Attorneys to help them work on analyzing case files, writing letters, and communicating with clients.
• Collaborate cross-functionally with attorneys and the intake team for seamless case handling.

Experience/Requirements:

• Ideally we’d like to see 2-4 years of experience in a client intake/customer service role, preferably in a law firm. However, we will train the right person, so if you have less than 2 years of experience, but think this role otherwise fits you, please reach out!
• Spanish language proficiency is required.
• Experience handling high call volumes and managing incoming inquiries/requests.
• Ability to speak on the phone throughout the day, including to many people who are experiencing stress and anxiety from a job loss. This will require compassion, and a good level of comfort with speaking on the phone.
• Familiarity with case management/CRM systems and documentation practices.
• Strong client service mindset with excellent communication and listening skills.
• Ability to quickly build rapport and put clients/prospects at ease.
• A strong attention to detail and ability to gather comprehensive case details.
• Solid judgement and the ability to assess case complexity and determine appropriate routing.
• Basic knowledge of legal processes/terminology (training can be provided).
• Self-motivated and entrepreneurial approach
• An ability to analyze complex issues.
• Must be a fast learner who is not afraid to ask questions. This role will involve a lot of back and forth and interaction with our lawyers. You must be comfortable with speaking with and interacting with potential clients, clients, and lawyers.
• Must have a base level of comfort with computer software used in an office. For example, as part of this role, you will be expected to be comfortable using Google Docs and Google Sheets.
