Position Description: Provides professional administrative support to the Executive Director, Leadership Team, and other staff as necessary. Coordinates meetings and maintains calendars. Prepares materials and takes minutes for board meetings. Maintains office supplies and organization. Assists Executive Director and Development Director with special projects, event support, and recordkeeping.

Primary Duties:
• Provide administrative support to Executive Director and Development Director including data entry, database management, donor mailings, all-staff communication, event logistics and other tasks as needed
• Organize and distribute packets for Board of Directors meetings; record and share minutes
• Answer main phone line and direct calls to appropriate staff
• Manage general agency email account
• Process incoming and outgoing mail
• Manage agency calendars, including on-call phone calendar
• Make updates to Ampersand Families website including adding events, posting staff blogs, etc.
• Manage photos and photo releases in the agency’s SharePoint site
• Update agency documents as needed
• Create and manage staff surveys
• Format agency documents as needed
• Monitor and order office supplies
• Order food for meetings and events
• Keep agency kitchen clean, stocked, and organized
• Organize and oversee agency storage/supply room
• Other duties as assigned, within the purview of this role
Desired Characteristics and Experience:
• Administrative experience preferred
• Attention to detail
• Proficient at simultaneously managing several projects with different timelines is a must
• Personal commitment to racial equity work. Ability to recognize the ways that race, gender, sexual orientation, ability/disability, and other identities (historically and presently) intersect and impact whether or not youth and families experience child welfare intervention, and what their experience is once they become involved.
Willingness to engage in difficult, respectful conversations for the purpose of strengthening the organization, the child welfare field and interpersonal relationships with colleagues
• Computer skills, including MS Office Suite, AdobePro, and database familiarity are required. Familiarity with Squarespace, WordPress, MailChimp, Facebook/social media are preferable. Competency with basic database management is also a plus
• Professional written and verbal communication skills
• Experience working in adoption or foster care licensing, or other administrative experience is a bonus for any applicant for this position
• BCA and social services background check required
Salary: $47,840-56,160
As part of our commitment to equitable hiring practices, we offer the highest starting salary based on an applicant’s qualifications that the agency is able to pay. Therefore, we do not engage in salary negotiations at hiring. There is a 3% pay increase after successful completion of a 6 month probationary period.
