Job description

The Lead Medical Assistant is responsible for direct patient care and assuming a leadership role with other clinical; responsible to assure all duties performed in a professional manner according to established policies, procedures and standards of care. This position requires providing service to the following age population(s) in a manner that demonstrates an understanding of the functional/developmental age of the individual served.

  • Pediatric, adolescent, adult, older adult and frail elderly
  • Answers office phones. Efficiently records all patient messages. Distributes messages according to office protocol.
  • Schedules patient appointments in IDX according to office protocol. Verifys insurance and registration information.
  • Prepares patient rooms ensuring that all necessary equipment is in clean working order and that all necessary supplies are well stocked. Adds supplies as necessary.
  • Escorts patients to exam rooms, assists patients after exam dressing, directs patients to the lab or reception area using established customer service standard.
  • Expertly obtains patient weight, blood pressure, height, temperature, pulse and respiration.
  • Documents and initials progress note and completes chart flow sheets.
  • Assists clinical providers as necessary with exams and procedures. This includes preparing patient, necessary supplies and clean-up.
  • Properly administers medication under the supervision of appropriate clinical provider.
  • Maintains lab equipment and supplies as necessary and/or required to insure CLIA lab standards are met. This includes, but is not limited to; licenses, control of dated supplies, materials and maintaining all clinical logs and performing lab controls.
  • At the direction of the appropriate care provider expertly performs veni-puncture, finger sticks and non-intravenous injections, collects appropriate specimens and performs appropriate lab analysis.
  • Completes lab requisitions, labels and prepares specimens for processing. Maintains data in lab computers. Documents patient chart following the office protocol.
  • Accurately prepares, processes, distributes all lab results. Ensures that all results are properly received, reviewed by the appropriate provider and filed in the patient chart. Maintains all necessary log information.
  • Ensures that the proper patient chart is prepared for the provider. This includes proper heading of the progress note, documentation of patient vitals and chief complaint. In addition, ensures that all prior test results or studies are filed.
  • Under the direction of the physician, accurately calls in prescriptions to pharmacies.
  • Addresses patient questions and concerns within the practice guidelines. Refers questions out of their area of responsibility to the provider or supervisor. Serves as a resources for information related to the patient needs under the direction of the provider
  • Ensure that the patent exam rooms are clean and prepared for the next patient/day according to the practice standard.
  • Assists in all areas as necessary and appropriate to ensure that the practice runs efficiently. Assist co-workers with any necessary and appropriate functions
  • Assists patients in any necessary and appropriate manner to ensure that excellent customer service is given to all
  • Initiates and takes responsibility for self-education.
  • Maintains the physical space of the office according to office standards ensuring it is neat, clean and orderly and that the office is closed properly.
  • Performs all duties (as qualified) as requested/required by the practice manager/site supervisor or clinical provider.
  • Complies with all AEHN Network policies regarding confidentiality.
  • Complies with all policies related to Emergency Procedures as defined in the Environment of Care plans. Knows personal role in event of a disaster or emergency situation.
  • Orients all new employees to established office protocols. Monitors new employees throughout the orientation period informing supervisor/manager of any issues relating to job performance. Performs an audit on each new employee assessing skills. Assessment must include recommendations for training in any area that does not meet office standards.
  • Performs clerical and clinical staff audits under the direction of the supervisor/manager. Assists in any retraining for staff members not meeting office standard
  • Assists in the ordering of supplies under the direction of the supervisor. Is responsible for monitoring packing slips and forwarding to Accounts Payable for processing.
  • Assists the supervisor in staff scheduling. Supporting the supervisor with coverage when necessary.
  • Troubleshoots issues thoroughly investigating problems and making recommendations to the supervisor/manager when necessary.
  • Successfully completes Frontline Leadership and Leadership Mastery. Utilizes skill set to supervise the office in the absence of the supervisor/manager and to promote an atmosphere of teamwork among the staff.

Qualifications
  • Experience working as a Medical Assistant (2 years) and experience in an applicable leadership role.
  • HS diploma or equivalent required.
  • Graduate of an accredited program for Medical Assistants is required (5 years of continuous MA work in a very similar setting may be considered as equivalent to an accredited MA program).
  • Knowledge/familiarity with ICD9 codes, CPT coding and medical terminology is required.
  • Ability to perform clinical functions such as veni-puncture, finger sticks, injections and lab/specimen prep, as well as successful completion of computer-based clinical skills testing is required.
  • General typing (28 WPM) preferred; filing and reception skills, spelling, grammar and telephone etiquette skills and strong customer service skills are required.
  • Prior graduation from Einstein Font Line Leadership is preferred.
  • Current certification from the Medical Association of Medical Assistants preferred.
  • CPR preferred.
  • Enrollment in Einstein's in Front Line Leadership class is required within 6 months of acceptance of position.

Conditions of Employment
Since this position will require the selected candidate to engage in regular contact with children in the form of care, guidance, supervision or training, you will be required to meet the requirements of the Child Protective Services Act, including the Pennsylvania State Police criminal background check, the Pennsylvania Department of Welfare child abuse criminal background clearance, and an FBI finger print based federal criminal records check. The selected candidate will not be allowed to commence working until all three (3) are completed satisfactorily.

Covid Vaccination is a requirement for employment at Jefferson for employees working at Jefferson's clinical entities or at the University.
