File Records Clerk - Legal/Law Firm
Since 1981, Henningson & Snoxell provided professional and personal legal representation to clients throughout the Minneapolis-St. Paul Metro area and beyond in business, non-profit, estate planning, elder law, family law, litigation, and real estate.
DUTIES & RESPONSIBILITIES:
- First backup for Receptionist (breaks, vacation, etc.)
- Assist with File Records with the maintenance of the firm’s central filing and retrieval system.
- Assist with opening new client matters, including the accurate data entry of all new client matters into the firm database; performing thorough conflict checks, preparing the physical file, appropriate numbering and labeling of the file, and prompt delivery to the Firm Administrator or Managing Partner, for approval.
- Immediately report any potential conflict issues to the Responsible Attorney.
- Follow up with attorneys and/or paralegals on missing file opening information and documents such as Legal Services Agreement, Truth-in-Lending Disclosure, and/or engagement letters.
- Maintain the integrity of the firm’s open client matter file system by reviewing and organizing open matters to ensure files are in proper numerical order and each matter has a future recall date.
- Maintain the firm’s computerized central filing and recall (retrieval) system.
- Print daily Recall Reports. Pull and distribute files to appropriate staff.
- Assist staff in locating misplaced client files.
- Process client matters for closing in accordance with established file-closing procedures. Review files before closing to ensure all fees are paid or identify if any unused retainer balance remains and initiate return to the client.
- Maintain and update client file folders with changes received from the post office, attorneys, paralegals, or other firm employees.
- Assist in the destruction of closed files in accordance with established file retention policies and procedures.
- Scan documents, client files.
- Maintain the closed file storage area.
- Additional duties and tasks as assigned.
SKILLS & QUALIFICATIONS:

- Ability to handle multiple tasks and respond in a fast-paced, customer service organization with the ability to handle frequent interruptions.
- Ability to work in a thorough, detailed, and accurate manner.
- Ability to organize and prioritize a high volume of files and paper.
- Strong attention to detail and numerical aptitude.
- Ability to lift and move file boxes weighing up to 50 pounds.
- Ability to interact with firm personnel.
EDUCATION & EXPERIENCE:
- High School degree and some post-secondary preferred.
- Experience in maintaining manual (paper) and computerized records systems is desirable.
- Experience in Law Firm records management preferred.
- Experience answering phones. Frist backup of receptionist position.
