SUMMARY
Manage daily operations of information technology department for Mutual Housing California (Mutual Housing), including not limited to: managing staff, monitoring multiple software applications, company intranet and document libraries, hardware, and licensing needs. The IT Department consists of three staff members including the IT Manager, User Support Specialist, and the Yardi Administrator. Mutual Housing works in conjunction with a third party managed service provider to support the organization’s IT needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage and provide leadership to the IT Department staff members.
- Supervise software administrators and assist administrators for all online software systems, including but not limited to Yardi, Salesforce and SharePoint.
- Collaborate with department heads to coordinate strategic solutions including establishing efficient workflows and solutions, execute systems improvements and processes for software programs, system needs, and maintenance of existing systems and hardware.
- Establish user acceptance testing guidelines for new software implementations.
- Collaborate with managed service provider to define IT infrastructure strategy, architecture, and processes. Initiates, coordinates, and enforces systems policies and procedures related to Information Technology.
- Oversight of user manuals, knowledge base articles and frequently asked questions for systems and procedures. Conduct and/or oversee training on software programs and hardware implementations.
- Manage oversight and governance of IT projects, for both software and hardware implementations, including but not limited to: Yardi Core and add on modules, Salesforce, and SharePoint; hardware upgrades; additional Microsoft products and protections, etc.
- Ensure software systems are maintained by IT staff, including monitoring updates, performance, and conducting regular audits of systems.
- Coordinate with all 3rd Party software representatives, including troubleshooting service requests, creating custom reports or products, and researching solutions.
- Oversight of the organization’s hardware and software licensing needs, assess equipment needs for company, oversee deployment of new hardware to staff and throughout communities, oversee VOIP system and maintenance of system.
- Manage outside consultants and serve as main point of contact for company.
- Prepare annual budget, monitor regular spending and ongoing IT contracts, prepare quotes and contracts for projects and ongoing systems.
- Research and advise stakeholders with information about new and existing IT services.
- Work with CFOO on establishing IT policies and written procedures, as well as providing recommendations for direction of department within the organization.
- Perform other administrative and information technology functions as deemed necessary.
SUPERVISOR RESPONSIBILITIES
- Directly supervises User Support Specialist, Yardi Administrator, and other IT department personnel.
- Responsible for interviewing, onboarding, and training IT department personnel.
- Responsible for planning, assigning, and directing work; appraising and reviewing performance; ensuring staff are achieving goals and completing annual reviews.
- Responsible for addressing issues and resolving problems with personnel, in coordination with the CFOO and HR.

EDUCATION/EXPERIENCE/CERTIFICATIONS
Required Experience
- 7 plus years of experience working in IT operations or in a technical professional setting.
- 3-5 years of project management experience, preferably with software implementations or in a technical capacity.
- Experience leading and managing large IT projects and rolling out IT infrastructures across various technologies.
- Excellent verbal and written communication skills, customer service mindset required.
- Ability to prepare procedure manuals for end users and create functional documents.
- Advanced experience with Microsoft Office suite.
- Advanced software skills and prior experience with software implementations.
- Experience with Yardi and/or Salesforce, preferably as an administrator.
- Demonstrated ability to configure, maintain, and troubleshoot SAAS or cloud-based software solutions for organizations.
- Experience managing dynamic cross-functional teams and directly supervising onsite and remote staff.
- Ability to work independently and take initiative.
- Strong critical thinking and decision-making skills.
- Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
- Valid driver’s license required as this position occasionally travels to the Mutual Housing owned communities.
Preferred Experience
- Bachelor's degree in Information Technology, Computer Science, Information Systems, or a related field, or technology based certifications, such as Microsoft or CompTIA.
- Project Management certification.
- Advanced Yardi skills including system administration, core financial configuration, affordable housing functionality, job cost module, and/or Forecast IQ.
- Experience administering and managing Salesforce instances.
- Experience managing SharePoint document libraries and permissions.
- Experience planning and/or managing strategic plan initiatives.
