Job Summary:
MAPMG is seeking an IRB Compliance Specialist to support the activities of the organization’s Institutional Review Board (IRB), which is responsible for review and approval of human subjects research conducted within Kaiser Permanente of the Mid-Atlantic States, and the Mid-Atlantic Permanente Medical Group (MAPMG) Compliance Department. The IRB/Compliance Specialist, under the direction of the Director, Human Research Protections, assists with the processing of IRB submissions and performs other tasks related to day-to-day operations and IRB administration. As a member of the MAPMG Compliance Department, and under the direction of the Assistant Compliance Officer/Privacy & Security Officer, the IRB/Compliance Specialist will also perform a myriad of other duties as assigned related to MAPMG’s Compliance and/or Research Compliance functions.
This position is currently a hybrid position.
Responsibilities:
- Administer the onboarding and training for all new research staff in human subjects protections and responsible research conduct
- Perform various tasks related to IRB submissions (e.g., triaging and reviewing for completeness, conducting validations)
- Prepare and disseminate communications (e.g., announcements, alerts, reminders) to the MAPMG research community
- Monitor the IRB inbox for issues that require attention (e.g., submission errors, expiration notices)
- Maintain working knowledge of internal IRB procedures in order to perform tasks to support all stages of the IRB review and approval process
- Assist with the creation and updating of IRB forms, procedures, and policies as needed
- Attend IRB and Research Compliance Committee (RCC) meetings and assist with meeting administration, including agenda creation, committee member communications, materials distribution, invitation of non-member guests/participants, minute-taking, and official meeting minutes creation
- Assist with the implementation of elements of the organization’s Annual Compliance Plan, including assisting with the development and administration of the Annual Compliance Training
- Assist with the administration of various annual compliance surveys or projects, including survey creation and launch utilizing Survey Monkey, interfacing with HR to finalize recipient lists, generating spreadsheets for tracking and results, creating reports, drafting and sending recipient email communications, and assisting with data analysis of results
- Assist with compliance investigations, following corporate procedures/protocols and utilizing internal systems and tools, including performing intake, triage, tracking functions to fully process and resolve incoming incidents, inquiries and complaints
- Perform tasks related to MAPMG review and approval of national and local corporate policies, as well as related to vendor risk management and compliance training monitoring activities
- Other duties as assigned
Qualifications:
- Bachelor’s degree, preferably in health or life sciences is required
- Minimum one (1) to three (3) years of work experience preferred
- Some experience working in a healthcare organization or field strongly preferred; do not need license in healthcare field
- Strong critical thinking, decision-making, and problem-solving skills
- Ability to balance, and track to completion, multiple projects/tasks at one time
- Ability to establish priorities and accomplish objectives in a fast-paced, online environment
- Outstanding organizational skills and attention to detail
- Strong communication and interpersonal skills, including ability to write and speak in a professional, clear and concise manner
- Self-motivated and able to function independently without constant supervision
- Ability to work effectively under conditions with high volumes and rigid deadlines
- Team player who can work collaboratively with others in a positive and effective manner
- Ability to exercise discretion and good judgement in handling confidential information and situations
- Willingness to obtain job-related certifications as required, e.g., Certified IRB Professional (CIP)
- Computer proficiency including MS Office (Word, Excel, Outlook, Teams), internet browsers, with ability to learn new software systems utilized as part of the work conducted by the IRB/Compliance Department
- Ability and willingness to work remotely and/or at MAPMG or Kaiser Permanente facilities as directed; work site is subject to change at the discretion of management
