GENERAL DESCRIPTION OF CLASS
To prepare and maintain inventory records of stores items and tools. To ensure that all inventory items are properly identified and readily accessible.
ESSENTIAL FUNCTIONS AND ADDITIONAL FUNCTIONS
- Communicates and works closely with Purchasing on Purchase Order Process (e.g.: restock reorder PO’s)
- Creates schedules by rows and bays for cycle counts on Central Stores Inventory items.
- Maintains daily activity, weekly and end of month reorder; EDMAIN inventory transaction reports.
- Verifies out of stocks and negative balances as they happen daily.
- Works with departments to identify obsolete materials.
- Verifies inventory records, purchase orders and receipts; adjusting in Maximo or by individual user account number and/or work order.
- Performs cycle counts; resolves and reconciles quantity differences.
- Reviews daily actives and transactions entered in Maximo.
- Uses computer to input and obtain information relating to inventory transactions.
- Prints inventory reports from Maximo to check against put-up sheets; verifying location and all items are marked with stock number and quantity.
- Adjusts inventory to physical count.
- Maintains Maximo and Oracle stock item master for accuracy in stock numbers, descriptions, locations and manufacturer identification.
- Provides training, support, direction and guidance to other departments on computer requisition of inventory.
- Assists other departments to resolve transactional problems.
- Assists in the design and improvement of Inventory Control and other systems related to the tracking and accounting of materials.
- Assists in the design and improvement of Inventory Control and other systems related to the tracking and accounting of materials.
- Employs the storm stock program for the coming year to provide additional materials during storm season.
- Coordinates and assists DoIT with testing and rolling out patches/upgrades to Maximo and Oracle software systems.
- Works with Finance to research all inventory vs. receiving issues and errors.
- Works with Engineers to determine the outcome of the order quantity based on the reorder point and safety stock.
- Assists Internal Auditor and External Auditor to complete end of the year audit; ensures all processes are being followed.
- May be required to work overtime or alternate hours as necessary for the efficient operation of the department.
- Position is designated Mission Critical.
- May be requested to deliver orders to various City Departments using City vehicle.
- Performs related work as required.
QUALIFICATIONS (EDUCATION, TRAINING AND EXPERIENCE) AND SPECIAL REQUIREMENTS
- A high school diploma from an accredited school or its equivalent
- Four (4) years of experience in general warehousing, to include automated Inventory Control systems.
- Must possess a valid State of Florida driver’s license.
- Must maintain a valid telephone number.
KNOWLEDGE, SKILLS, ABILITIES AND WORKING ENVIRONMENT/PHYSICAL REQUIREMENTS
- Ability to follow written and verbal instructions.
- Ability to maintain inventory records.
- Ability to identify stock items.
- Ability to establish and maintain effective working relationships with supervisors, co-workers, other City employees and the general public.
- Skill in the use of computers for accurate date input and reconciliation of records.
- Skill in recording information accurately.
- Skill in communicating in verbal and written form.
- Requires sedentary work that involves walking or standing some of the time, exerting up to ten (10) pounds of force on a recurring basis and routine keyboard operations.
- The job risks exposure to some environmental hazards.
- The job requires normal visual acuity, field of vision, hearing, speaking, color perception, sense of smell, depth perception and texture perception.
