Job Description
We are currently seeking a Inventory Control Specialist (ICS) to join our team! You will be responsible for completing work orders, managing materials, and other required tasks.
Responsibilities:
- When the Inventory Control Specialist (ICS) is assigned to the project all existing site materials are counted and an Excel inventory tracking log is created.
- The ICS should be able to generate a SITREP. SITREP is a military term, short for Situation Report. The most important thing in a SITREP is getting the facts right. As a newly assigned ICS, take time to review your site, existing conditions, layout the future building’s location, understand the building plan & construction sequence, and generate a list of possible challenges the site might present to the construction effort.
- A yard layout is created based on the scope of work of the project that will allow efficient use of materials as-is/where-is in the yard, without requiring double handling. Material should be unloaded to a storage location in a logical sequence matching the construction schedule and only handled again when it's going to be installed. This minimizes wasted time and accidental damage of finished goods.
- The ICS should have a hardcopy diagram of the yard to share with vendors, subcontractors, and other site personnel when necessary. This allows the ICS to move about the site without frequent interruptions (i.e., having to walk others to their desired material’s location). Simply pull out the diagram, indicate the location of the requested material, and return to whichever task is at hand.
- For each inbound delivery the ICS must be present to meet the driver, count the items as they are unloaded, and sign the delivery ticket indicating receipt of each item that was supposed to be on the truck. If there is a shortage or backorder, the ICS must note this in the inventory tracker. Backorders are a crucial part of the ICS’s responsibility. When site personnel require backordered material, knowing which vendor has the order reduces duplicate purchasing, restocking fees, and waste.
- After taking delivery of new materials the inventory tracking spreadsheet must be updated to reflect the new total quantity for each item received. The ICS will do audits/counts each Friday for materials that are being actively used during that phase of construction and monthly for materials that are stored, but not yet in use. These regular audits catch fraud, waste, and abuse before they cause a project delay.
- When the ICS has all materials accounted for, the tracking sheet up to date, and all subcontractors adequately supplied they must make time to send the signed delivery tickets to the purchasing department. This step gives the office feedback about actual lead times for items, as well as a greenlight to pay invoices when they come in.
- The ICS is responsible for providing site security and protecting materials from theft. Conexes must be locked each afternoon and unlocked each morning if and only if there is a need for the stored materials that day. The ICS may not come in each morning and unlock all the Conex containers for convenience. This is a common cause of jobsite theft. The ICS must also establish a secured area for large volume storage, ideally behind a locked fence. High value and easily carried materials should be double secured inside a second layer of fence or, if available, in a Conex or vacant interior space on the project.
- Access points to material storage areas should be surveilled by motion activated cellular "game cameras" (or similar) at the ICS's discretion. The ICS shall be responsible for setup, maintenance, and strategic placement of these cameras to cover the maximum possible number of access points. The Project Manager shall be provided access to the camera footage for monitoring subcontractors and performing secondary audits.
Qualifications:
- Previous experience in maintenance or other related fields
- Familiarity with construction materials, maintenance tools and equipment
- Ability to handle physical workload
- Deadline and detail-oriented
- Must have your own reliable vehicle for pick up and delivery of materials to local jobsites.
