Job Description

Reporting directly to the Vice President of Communications, the Internal Communications Manager will be responsible for day-to-day operation, management and upkeep of the Y’s intranet and other Internal Communications platforms, including Viva Engage and will be a primary contributor to our YMCA blog and storytelling efforts.

As the Internal Communications Manager, you are part writer, part traffic control, part web/graphic designer (we're a Sharepoint shop), and part comms advisor to the broader Y team. Qualifications
  • Bachelor’s degree and 3+ years of experience in internal or corporate communications OR a high school diploma and 5+ years of experience in internal or corporate communications
  • Excellent written, oral, interpersonal communication skills
  • Strong customer service orientation
  • Advanced knowledge of content and Web content management technologies, protocols, SEO, and best practices
  • Content management experience
  • Proven track record in developing and implementing communication strategies for organizational initiatives
  • Ability to independently manage multiple communication initiatives and tactical implementations simultaneously
  • Attention to detail
  • Solid organizational and project management skills in a fast-paced, dynamic environment
  • Collaborative nature and the ability to build relationships with diverse stakeholders
  • Proficiency in Office365 applications, including SharePoint, PowerPoint, Teams, Forms, Planner, Engage, and more.

Preferred Requirements:

  • Bachelor’s degree in communications, marketing, or related field
  • 1+ years of non-profit experience
Essential Functions
  • Collaborate in the design, implementation, and execution of a cohesive and robust Internal Communications strategy with tactics that engage both full-time and part-time team members while enhancing our communications efforts.
  • Ensure the Y's mission comes to life through sharing impactful events, strategic messages, campaigns, and compelling storytelling on our internal platforms and the YMCA blog.
  • Cultivate strong relationships with YMCA departments and branches to write, edit, and develop communications — staff and member impact stories, program highlights, and more.
  • Create and deliver Internal Communications content, including email updates, newsletters, intranet content, videos, and presentations .
  • Identify opportunities to promote employee engagement and help foster a positive company culture
  • Assist with crisis communications, ensuring all constituents are informed and up to date.
  • Develop and enforce content guidelines, policies, and governance, in coordination with the Vice President of Communications and Intranet Taskforce.
  • Act as manager of the YMCA intranet and other internal communication channels and advise stakeholders as they set up their hubs or content pages.
  • Monitor employee usage of the various engagement channels such as the intranet, Teams, and Engage and develop recommendations for improving use and usefulness.
  • Ensure content is migrated from existing sources or developed, as necessary, to allow for full functionality and archiving of previous systems.
  • Monitor and manage information submission for the homepage to ensure consistency and maintain timely and proper balance of content.
  • Lead, manage and monitor Intranet community engagement, site analytics, and report key insights.
  • Establish a quality assurance process and ensure consistent look and feel by promoting uniform fonts, formatting, images, and layout.
  • Find, diagnose, and fix content problems, including broken links (internal and external), typographical errors, and formatting inconsistencies.
  • Provide communications training and support for staff.
  • Develop intranet calendar and content schedules to ensure that there is a cohesive messaging strategy, consistent communication, and flawless execution of tactics.
  • Build and foster community (employee recognition and employee engagement experiences) and deepen engagement with team members organization-wide on Microsoft 365 Viva Engage, Teams, etc.
  • Liaise with IT Department and systems experts on hardware and software issues that affect the availability and accessibility of content, wherever it exists, and work together to develop technical solutions for general stakeholder communication needs, including dynamic email distribution lists.
  • Provide communications support for monthly CEO Chat/MS Teams Townhall.
  • Provide general communications support, including but not limited to drafting program and member communication, and coordinating/sending organization wide emails.
