We are looking for a talented and motivated Inspection & Site Contract Coordinator that thrives in a fast-paced work environment. The Inspection & Site Contract Coordinator will play a fundamental role in achieving our ambitious customer acquisition and revenue growth objectives. As an Inspection & Site Contract Coordinator, you will be responsible for answering and addressing scheduled service and emergency service calls, log leads and submit inspection RFQs to Inside Sales and estimate hours for new inspection opportunities. On a daily basis, you will consistently communicate with onsite technicians via phone and Teams addressing concerns including facility access and other onsite concerns.  Additional responsibilities include coordinating hotel accommodations and per-diem requests with Purchasing & Accounts Payable for overnight inspection orders.

Compensation: Base Salary, Semi-Annual Performance Profit Sharing Bonus and Year End Profit Sharing Bonus.

Schedule: Monday - Friday 7:00am - 4:00pm, overtime as needed

Tasks:

  • Act as direct backup for Project Coordinator assisting with scheduling and coordination of System Install and Parts Install from Repair Service orders.
  • Act as direct backup for Shipping and Receiving Specialist.
  • Answer and address 24/7 Emergency Repair Service phone calls in the queue after hours, weekends, and holidays.
  • Answer and fully address Scheduled Service and Emergency Service calls received.
  • Answer external and internal inspection queue calls. Log leads, submit inspection RFQs to Inside Sales, estimate hours for new inspection opportunities and Site Contracts.
  • Answer Further Assistance queue calls.
  • Assist the sale department with reviewing and processing new inspection opportunities and submitting inspection RFQs to Inside Sales.
  • Complete MyHCR follow up calls encouraging new clients/contacts to sign up for MyHCR and providing MyHCR technical support and demos as necessary.
  • Consistently communicate with onsite technicians via phone and Teams addressing concerns including facility access, asset variances, lift issues, and safety concerns.
  • Coordinating hotels and per-diem with Purchasing and Accounts Payable for overnight inspection orders.
  • Coordinating YH and vendor lift equipment needed to complete inspections and repairs from inspections.
  • Dispatch technicians and track vehicle locations ensuring timely arrival at client facilities.
  • Efficient route planning for large multi-location inspection contacts.
  • Follow up on inspection and repair from inspection proposals to close the orders. Updating ERP with most recent status.
  • Log client feedback in the ERP system.
  • Manage all previous day, current day, and next business day information for Inspection, Parts Install from Inspection, and Site Contract orders.
  • Manage and present pending inspection section of daily project meeting.
  • Manage ongoing inspection schedule. Identifying and implementing opportunities for efficiency and cost savings.
  • Manage Site Contract orders including daily/weekly/monthly client required paperwork.
  • Obtaining asset lists, facility maps, and reliable onsite primary and secondary POC setting up technicians for success.
  • Own, manage, and schedule all monthly Site Contract regroup meeting for each Site Contract account.
  • Own, manage, and schedule all pre-scheduling meetings for all newly acquired quarterly and monthly inspection accounts.
  • Partner with sales to identify new inspection opportunities across our coverage are and generate monthly inspection prospecting lists for each sales territory.
  • Partner with Territory Sales and Service to meet and exceed client expectations.
  • Prospect for new inspection opportunities from existing non-inspection clients and new prospects.
  • Prospect for new inspection opportunities with existing inspection clients to increase frequency and/or add additional categories.
  • Review and process service parts request for all assets failed during inspection. Provide detailed, complete, and accurate information for purchasing to source components. Contact suppliers and technicians as necessary.
  • Review inspection reports and asset information for completeness and accuracy. Correct errors and escalate to service leadership as necessary.
  • Run report and analyze data for job time, mileage, and consumables to identify opportunities for increased revenue and profits.
  • Track and manage actual vs. quoted hours/trips for multi-day and recurring inspections.
  • Track lost inspection accounts and provide reporting to Territory Reps and Sales Management.
  • Verifying client assets and provide updated information to Inside Sales for quoting purposes.
  • Work with Branch Service Supervisors to maximize efficiency and best use available billable hours.
