Lakeside HR Group has been engaged to recruit for a Project Coordinator/Inside Sales Assistant providing inside technical support for a Leading Provider of HVAC Solutions located in Orlando, Florida. Their goal is to effectively promote sales of HVAC equipment in the commercial construction market and to deliver unparalleled service to their customers. This Company is a manufacturers’ representative of heating, ventilation and air-conditioning equipment. They are one of the largest organizations of its kind and a clear leader in their industry. Their corporate office is located in Atlanta, GA with ten additional branches located throughout the Southeast Birmingham, Jacksonville, Orlando, Tampa, Ft Myers, Pensacola, Savannah, Memphis and Nashville.
JOB SUMMARY: This position will assist Outside Sales Engineers with estimating, project management and customer service to an extensive customer account list. Day-to-day tasks would include assisting Outside Sales Engineers to provide timely estimates of HVAC material, after-sale project management and exceptional customer support. Hands-on training is provided.
ESSENTIAL FUNCTIONS
- Comprehension of construction plans and specifications: ability to do material take-offs, select material on core products based on specifications, price material using manufacturer software, write a quotation to distribute to customer.
- Post-sale job management: ability to book a job, set up and manage a job file; understand the submittal process, order entry with factories and warehouse, complete the electronic billing sheet; expedite orders; process freight claims; process factory invoices and stock sales.
- Relationship building with customers and factory personnel; liaison for Outside Sales Engineer.
- Interactive communication with Outside Sales Engineer, factory representatives and customer personnel to facilitate meeting project deadlines and customer needs.
- Multi-tasking and prioritizing daily tasks to provide unparalleled customer service.
- Take-off material from mechanical drawings using OST, understanding the importance of drawing notes/details.
- Select material and equipment on core products, based on specifications and schedules.
- Price take-offs using manufacturer pricing software/data.
- Write a scope letter/quotation for distribution to customer(s).
- Assist the Quotation Department with quoting jobs.
- Mentor quote jobs when needed.
- Book a job, set up and manage a job file (manual/electronic) including proper documentation of notes & correspondence.
- Understand freight claims; how to deal with damaged or shorted shipments.
- Process factory invoices/billing to customers.
- Process stock sales.
- Understand credit application process.
- Process credit card transactions/ forward order(s) as needed.
- Build professional relationships with customers & factory personnel; be a liaison for Outside Sales.
- Execute responsibilities with speed, accuracy and efficiency.
- Perform timely initial review of plans and specification and send to appropriate factories for quotes
- Submit Prior Approval requests, in a timely manner.
- Maintain and coordinate branch bid list.
Education Engineering degree, ME preferred, or Building Construction degree or comparable industry experience.
Experience Proven Inside Sales experience/project coordination experience, preferably 3 to 5 years experience working with commercial HVAC products.
