Essential Job Responsibilities:
· Provide Fast and Friendly customer service to all customers
· Answer incoming calls, emails, and txt messages to close out calls for technicians and sales
· Communicate with technicians and other departments via email, text message and phone
· Maintain scheduled calls on Dispatching software making sure that all calls are scheduled on the appropriate technician/installer and update customers as needed of technicians ETA
o Put detailed notes to ensure the field employees have as many details as possible.
· Ensure all field employees have necessary parts/equipment to complete jobs:
o Order all equipment and/or materials from vendors
o Schedule pickups/deliveries keeping the job start date in mind
· Get familiar with regular clients and properties, learning their individual needs
· Get familiar with routine repairs to learn time frames for each repair for scheduling
· Review job notes for every job to make sure it is completed or to schedule return visits if necessary
o Order parts for return visits
o Schedule pickup and/or drop off parts to technician
o If information is not present, get information from field employees to close out jobs
· Answer incoming calls from customers related to service, billing, and other departments
· Make outbound calls to schedule, confirm, and survey upcoming or completed appointments
· Manage customer concerns and work to resolve them efficiently and effectively
· Track vehicles to determine ETA's and update customers if necessary
o Or to change the schedule if it would be more efficient
- Performs other duties as necessary or assigned.Required Job-Related Specifications:
· Demonstrated judgment and decision-making ability.
· Excellent communication skills, both written and verbal.
· Ability to follow instructions from supervisors and/or more tenured co-workers.
Education, Experience and Certifications:
· High School degree or equivalent is preferred
· At least (1) year relevant experience in the HVAC/Multi-Family industry is preferred
- A minimum of (2) years in an administrative support role is preferred

Physical & Other Requirements:
· Prolonged periods sitting at a desk and working on a computer, up to 75% of the time.
· Must be able to lift up to 30 pounds.
· While performing the duties of this job the employee may be required to walk, climb stairs, and climb ladders regularly. Additionally, employee will have to use hands and arms to reach, handle and feel, as well as to hear and speak while performing the duties of this position.
