Position Summary

 

JMJ is looking for an experienced Human Resources Generalist. This position will be a line of support to Employees and Independent Contractors within the International region. Responsible for the day-to-day administration of the efficient operations of HR. Supporting the Global HR Manager and working in close partnership with others. This role will be responsible for all aspects of the employee lifecycle including start to end recruitment, on-boarding and leavers, performance management, payroll, compensation and benefits, employee relations, and implementing policies as well as project work. This position will be responsible for and not limited to:

 

Responsibilities/Accountabilities


  • Point of contact for all HR related matters within region including supporting and advising line managers and employees on the interpretation of HR policies, practices, agreements, and best practices
  • Support the implementation of new processes/procedures globally and responsible for collaborating in creating and updating new and existing policies, procedures, and handbooks.
  • Manage benefits administration, enrolling new hires, informing the benefit brokers of any changes, promotion of benefits, expert knowledge in all benefit offerings, approve invoices, and liaise with benefit brokers with queries and renewals.
  • Monitor and review absence, maternity and paternity leave, contract changes.
  • Manage payroll for the region, provide payroll changes to vendors, resolve payroll queries, review, approve or query payroll invoices, and assist in setting up new payroll entities as required.
  • Responsible for the recruitment process up to Consultant level including managing the recruitment pipeline, responding to speculative applicants, liaising with recruitment agencies for temporary cover and new vacancies. Manage the flow of CV’s to hiring managers, including interview booking and feedback, conduct interviews and prepare for assessment center's.
  • Manage the new starter and leavers processes which include preparing offer letters and contracts, sending out new starter paperwork/emails, obtaining appropriate references, arranging exit interviews, etc
  • Manage Independent Contractors Agreements process and be the first point of contact for all enquiries.
  • Monitor probationary reviews (as required) and follow up with managers, prepare and issue letters confirming employment.
  • Responsible for generating and responding to all reference requests (employment, bank, mortgage, visa)
  • Responsible for the HR function being compliant with relevant internal and external requirements, prepares for audits and completes regulatory reporting when necessary.
  • Coordinate overseas assignments/relocations incoming and outgoing in collaboration with the HR team and International ML and ensure aligned with the Global Mobility policy, include work permit obtainment.
  • Responsible for all HR administration including preparing change of terms letters, maintaining employee files (HR drive and hard copies), filing, and maintaining the HR system (BambooHR)
  • Attend and actively participate in staff development and inter-department meetings and be a stand for personal development.
  • Special ad hoc projects as required.

 

Requirements /Qualifications

  • Travel requirement less than 5%
  • Degree educated or equivalent.
  • Commercially aware with broad HR experience working in a position with proven experience of administering payroll, benefits and start to end recruitment is essential. Must have previous experience of working within region. 
  • Be up to date with employment legislation and best practices and consider international practices.
  • Strong Microsoft Office suite experience is essential, previous experience of working with a HRIS system and confidence in social media would be desirable.
  • Experience with ActivPayroll
  • Ability to establish and maintain effective relationships with the global community.
  • Demonstrate aptitude for learning new techniques, proficient in multi-tasking and prioritizing, owning, and participating in multiple projects.
  • Previous experience of implementing Investors in People would be advantageous.
  • Ability to handle sensitive and confidential information and situations with the aptitude to earn trust.
  • Ability to work independently, be pro-active and be an enthusiastic team player. 
  • Proactive with the ability to see the bigger picture.
