Job description

The Human Resource Coordinator is responsible for providing day-to-day Human Resources support. The HR Coordinator provides excellent customer service, and support, and serves as a resource internally and externally. The position performs a variety of functions: onboarding, offboarding, and record maintenance of employee information in other systems (Hyland Onbase, BadgePass, S2, ADP, etc). Assists with coordination of special events and serves as a backup for the front desk. Ensures compliance with state, federal, and regulatory agencies and confidentiality for areas of responsibility.

Education:

High School Diploma plus 1-year vocational school

Experience:

Three years of related experience. Requires working knowledge of specialized practices, equipment, and procedures.

Qualifications

  • Prior experience in problem-resolution positions and/or customer service.
  • Demonstrated proficiency with computer-generated report development and processing for major functional areas. Proficient with computer applications, preferably Word, Excel, and PowerPoint.
  • Neat, pleasant demeanor, confident personality.
  • Must be able to manage multiple priorities, simultaneously.
  • Excellent written and verbal communication skills with good knowledge of English grammar and spelling. Good organizing skills. High level of accuracy.
  • Exhibits good interpersonal skills and professional ethics.
  • Good math aptitude (demonstrated through prior educational courses or experience).
  • Must be able to function as a member of a team.
  • Must possess a high level of professionalism a strong commitment to employee service and the ability to collaborate with all levels of management and staff.
  • Experience with HRIS systems.

Functions

Area of Responsibilities

  • Processes, verify, and maintain new hire information ensuring all necessary components and approvals has been received. Coordinates maintenance of all records assuring accuracy, protection of confidentiality, and compliance with standards.
  • Responsible for maintenance of HR records including ADP, Hyland Onbase. Populates information into appropriate fields for personnel records maintenance. Processes bonus and referral payments, cell phone stipend, and car allowance. Generates reports for HR, other departments and administration. Assists with regulatory activities, i.e., The Joint Commission and state surveys, CAP surveys, etc. to include continual readiness preparation activities, chart review, and report generation activities.
  • Records storage for all employees and contract personnel assuring accuracy, and protection of confidentiality. Organizes, processes, files and scans records to best meet the needs of the department, organization, The Joint Commission, state licensure, and other audits and reviews. Maintains filing system, (paper, electronic, archived) to include file preparation, filing, archiving, retrieval and destruction.
  • Coordinate and process all employee offboarding information ensuring that timecards are documented appropriately, Paid Time Off is paid out, if applicable, and separation notice is mailed according to Tanner policies, federal, or state regulations.
  • Develops and processes reports and presentations using appropriate computer applications. Ensures accurate data entry into ADP and other databases in a timely manner while maintaining integrity of employee information within HRIS system. Assists with coordination of special functions, recruitment activities, and employee activities.
  • Provides backup assistance for front desk coverage and performs functions in a manner that furthers the goals of Tanner Service Standards. Greets and assist guest, i.e., applicants, staff, vendors, etc. courteously, promptly and professionally. Is knowledgeable of HR polices procedures and a resource for employees and guest.
  • Follows all rules, regulations, and policies of the department and the organization.

Compliance Statement

Employee performs within the prescribed limits of Tanner Health System's Ethics and Compliance program. Is responsible to detect, observe, and report compliance variances to their immediate supervisor, the Compliance Officer, or the Hotline.
