Responsibilities:
The Human Resources Associate performs administrative work for the HR department including scheduling, maintaining files, responding to inquiries both written and in person, and answers frequently asked questions from applicants and employees; responds to questions regarding standard policies, benefits, the hiring process, and refers more complex questions to the appropriate senior-level HR staff or management; assists with record maintenance, onboard duties for new employees and provides clerical support for all employees in the office; assists with day-to-day operations of the HR function by providing clerical and administrative support to Human Resources staff; displays professional customer service, conflict management and employee relationship skills to prospective, current, and former employees; supports all internal and external HR related inquiries or requests such as problem-solving procedures, complaints, coordination of communication with candidates and current employees, and assistance with policies and procedures; maintains digital and electronic records of employees including badge pictures, I-9 information, and updated personnel information; oversees the completion of compensation and payroll documentation for new employees, reviews documentation for accuracy and resolves any errors; assists employees with general benefits related inquiries and directs information requests for more complex benefits related needs to the appropriate benefits team member. Uses Banner system to ensure that employees are being given the correct benefits forms as needed; assists with performance management procedures including documentation of corrective action, data entry, and response to internal inquiries; assists with confirming approval of traveling agency and local temporary agency employees for assignment at USA Health using Banner and manually pulling and reviewing files as needed; assists Compensation and Recruiters by scheduling new employee orientation, updating Banner with all necessary new employee information, closing out the applicant file and transitioning to new employee file; compiles information for subpoenas by copying files; schedule’s meetings, interviews, HR events and maintain agendas as requested by HR management; coordinate’s training sessions, retreats, and workshops as requested; assists with scheduling and attending Recruitment events; prepares for new employee orientation weekly and coordinates with the appropriate HR Staff to ensure all new hires are recorded and appropriate documentation is received; produces and submits reports on general HR activities and dashboards as requested; completes termination paperwork and assists with exit interviews as requested; keeps up to date with the latest HR trends and best practices; reviews employee information in the Banner system to ensure that the proper paperwork and information is being distributed; reviews Accident/Incident Report via RL6 located within the USA Health employee intranet, inspects for correct information and forwards to OJI vendor; ability to work in multiple HR Health System Offices as needed to provide coverage for others during vacations, etc.; ability to work the assigned schedule including overtime, as necessary; other duties as assigned/required; participates on committees as assigned. Participates in Performance Improvement activities through quality measurement or participation of ICARE process as assigned.
Qualifications:
High school diploma or equivalent and five years of experience as a Human Resources assistant, staff assistant, secretary or related Human Resources or administrative position. Bachelor’s degree will substitute on a year-for-year basis for the required experience.
