The Human Resources Assistant, under the general direction of the Director, U.S. Human Resources, is responsible for supporting the Firm's Human Resources activities and services by performing administrative work to ensure smooth operations, including heavy scheduling and heavy email and telephone communications. Some document production, records maintenance and HRIS reporting is also needed.
Our hybrid work model requires a minimum of 3 days a week in office.
Job Description
ESSENTIAL JOB FUNCTIONS:
Department wide Support
- Demonstrate the Firm's Personal Commitments and support our Guiding Principles through professional, service-oriented, and respectful interactions with all Firm personnel and outside contacts, maintaining confidentiality and showing discretion and good judgment.
- HR Telephone Hotline Email Inquiries - answer calls or emails, as needed research inquiries, get back to the client and close out inquiry or request. Handle all in a professional, service-oriented and responsive manner.
- Handle logistics and scheduling for all monthly department wide meetings and trainings.
- Intranet site maintenance - prepare, organize, and maintain the storage of Human Resources documents in electronic formats on the Firm Intranet site.
- Support the maintenance of online policies and procedures.
- Process employment verifications including state bar recommendations, general employment verifications, immigration letters, travel letters, etc.
- Reconcile monthly department invoices.
- Ensure up-to-date employment law poster maintenance in all U.S. locations.
- Performs any and all other duties as necessary and as assigned for efficient functioning of the Department, Office and Firm.
Employee Relations/Onboarding/Orientation Support
- Craft and distribute orientation schedules.
- Assign new hire compliance training and assist with other orientation/onboarding tasks.
- Maintain and distribute trackers for leavers and joiners.
- Backup I9 process - understand and comply with weekly completion of forms and ID collection.
- Understand 'Firm Hiring Guidelines' and related procedures to assist with recruiting and on-boarding. This includes use of the firm's job requisition system, internal and external job postings, and communication with applicants and hiring managers.
- Assist with Job Description editing and database maintenance.
- Process departures following departure checklists and fielding information to/from managers and departing employees.
HRIS Data Entry and Reports
- Accurately track and report HR data, including hires, terminations, transfers, and open positions for internal and external department needs.
- Provide data entry support for employee records - U.S. and EMEA locations.
- Utilize HRIS systems to prepare reports on employee data, time and attendance data, performance data, etc. for both U.S. and EMEA locations.
QUALIFICATIONS / Knowledge, Skills, Abilities:
- Bachelor's degree or equivalent experience in an administrative support role requiring confidentiality, discretion, ability to multitask and strong organizational and technical skills.
- Must be highly detail-oriented and possess a capacity to juggle multiple tasks in a fast-paced environment.
- Must be able to maintain a high degree of confidentiality.
- Experience and interest in the Human Resources profession is strongly preferred
- Excellent oral and written communication skills.
- Ability to adapt to changing business needs.
- Strong organizational skills
- Positive attitude and service orientation are required, understanding that this role includes administrative and clerical tasks that are equally critical to the department's function.
- High-level Microsoft Office skills, particularly in Excel.
- Systems: Workday HRIS system preferred, Excel, Word, PowerPoint, Outlook Required
- Vision: ability to see well enough to read materials and computer screen 80% of the time.
- Hearing: ability to hear well enough to talk on the phone 50% of the time.
- Posture: ability to sit for approximately 60% of the time and to stoop up and down 20% of the time.
Additional Job Description
At the time of this posting, the salary range for this position in New York is $48,000 to $52,000 annually. Actual compensation is commensurate with job related knowledge, skills, experience, and location of the position.
