What you will do!
This position will report to the Director of HR. The HR Assistant will perform administrative tasks and services to support effective and efficient operations of our Human Resources department. Responsibilities will include the following:
- Responds to basic employee inquiries regarding benefits, time & leave and company policies and procedures.
- Maintains accurate and up-to-date HR files, records, and documentation as well as provides clerical support where needed.
- Supports recruitment functions by maintaining the applicant tracking system, providing resumes to hiring managers, scheduling interviews, following-up with candidates, maintaining recruitment trackers, etc.
- Assists with limited payroll functions listed below:
- Answers basic employee payroll and timekeeping questions
- Ensures timecards and time-off requests are submitted accurately in a timely manner by employees.
- Confirms that timecards and time-off requests are reviewed and correctly approved by the timekeeping supervisors before the deadline.
- Responds to all employee verification requests.
- Receives and logs unemployment claims and forwards to the Director of HR within the 10-day window for response.
- Acts as a liaison between HR and Fiscal in processing payments to benefits providers and vendors.
- Ensures required employee training and annual disclosure forms are completed and tracks training through HRIS system.
- Assists with new hire orientation, preparation for new employee onboarding and maintaining onboarding tracker.
- Ensures compliance with new hire probation process and works with managers regarding new hire evaluations.
- Assists with both external and internal audits.
- Supports the planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, etc..
- Performs other duties as assigned.
What you will bring!
- Minimum 1 year of HR experience or administrative assistant experience.
- Proficiency with using Microsoft Office and G-Suite applications, including Google Docs
- Experience in using any Applicant Tracking System and Human Resource Information System is a plus.
- Ability to multi-task and prioritize in a dynamic work environment to meet deadlines.
- Strong attention to detail and ability to work as a team member.
- Must be attuned to others through strong active listening skills.
- Strong organizational skills with demonstrated attention to detail and focus.
- Strong analytical, verbal, written and interpersonal communication skills with the ability to present information to a diverse client base- specifically racially, ethnically and socially diverse.
- Ability to protect the confidentiality and privacy of others in addition to company documents and records when privy to sensitive information.
- Ability to demonstrate uncompromised judgment and discretion.
- Ability to effectively prioritize, organize and perform multiple tasks with varying deadlines.
COMPENSATION:
$50,000 annual salary
