The Human Resources Assistant provides hands on support for day-to-day administration of operations for the Human Resources Department. This position will primarily focus on benefits, payroll, HRIS, events and general Human Resources related support to departmental management members. This position participates in administrative efforts related to the administration of benefits, providing support to payroll processes and procedures, maintaining data in the firm HRIS system, supports compliance related tasks and other projects as assigned.
MORE ABOUT THE ROLE:
- Performs data entry and data record keeping with a variety of vendors or systems, including in the HRIS system. Updates vendors with employee change information (address, name, dependent, contact information).
- Maintains and updates information in a variety of systems and processes including data updates in intranet site, HRIS system, payroll and timecards, emergency notification system as well as other systems accordingly.
- Provides benefit program support in areas such as benefits collateral, posting materials and information on the firm’s intranet site. Also provides hands on support in all facets of open enrollment process. Learns benefits and serves as backup workflow support to Benefits Manager, this includes coverage for employee benefit meetings.
- Reviews and ensures completion of nonexempt employee timecards and provides additional assistance to the Payroll Manager as requested.
- Works closely with benefits and payroll conducting audits to ensure pristine change data for all applicable systems.
- Participates in the coordinating of employee and firm events, initiatives and trainings initiated by the HR Department such as administrative professionals’ day, service awards, new employee luncheons, employee gifts (welcoming a child, marriage, etc.), Well@Wolf, and other new initiatives.
- Processes all departmental invoices and coordinates with finance to ensure timely payment. Performs monthly benefits reconciliation by comparing invoices to the HRIS system and payroll deductions.
- Maintains personnel files, including administering all filing for personnel files.
- Provides stellar customer support to internal and external customers with consistent follow up with the willingness to always go the extra mile to ensure customer satisfaction. Assists with employee questions and inquiries particularly as it relates to benefit programs, policies, firm procedures, and timecards.
- Assists with maintaining compliance posters and postings as it relates to federal, state and local employment regulations.
- Provides hands on support for all department related initiatives including but not limited to mailings, drafting of letters, filing, coordination of internal events, scheduling and coordinating meetings/trainings.
- Participates in additional departmental projects and priorities as requested.
STRONG CANDIDATES WILL HAVE:
- Bachelor’s degree or minimum of one year of work experience in an administrative or Human Resources capacity, or equivalent combination of education and work experience.
- Highly proficient in MS Outlook, Word, and Excel as well as basic computer and database management skills.
- Exceptional oral and written communication skills and the ability to effectively communicate workflow and project updates.
- Strong time management, prioritization, problem-solving, and organizational skills, and the ability to work effectively in a high-pressure environment.
- Strong attention to detail and analytical skills, with comfort around numbers and spreadsheets.
- Ability to maintain confidentiality of matters and other firm business information.
The expected salary range for this position is $51,600 - $58,300 annually. Actual pay will be determined based on experience and other job-related factors permitted by law. Wolf Greenfield offers a comprehensive benefits package.
