Job description

The Human Resources Assistant plays a key role in assisting with various administrative functions within the Human Resources department, including but not limited to team customer service, recruiting, onboarding, employee events, benefits administration, training, and record keeping.

Evermore Orlando Resort is an innovative 1,100-acre resort adjacent to Walt Disney World® featuring centrally owned upscale and upsized vacation rental homes, flats & villas, a luxury Conrad hotel, 36 holes of world-class Jack Nicklaus golf, and a massive 20-acre tropical beach complex around Evermore Bay, our 8-acre crystalline water amenity by Crystal Lagoons®. The surrounding beach areas feature zero-entry swim areas, bars, cabanas, private firepits, a lively food hall & gourmet market, a casual dining restaurant, and an event Boathouse that will provide a picture-perfect backdrop for weddings, banquets, and corporate meetings. Evermore is building a team that will bring these experiences to life in 2023 and is seeking individuals that want the challenge of building this exciting resort experience. 

Key Responsibilities:

  • Remain alert, courteous, and helpful to guests and fellow Team Members always.
  • Assist with monthly Team Member anniversaries and birthdays for distribution via calendar flyers and letters.
  • Practice safety standards and report any unsafe conditions.
  • Audit Federal and State required postings quarterly and maintain Team Member bulletin boards.
  • Prepare birthday and anniversary cards for departments and distribute them for signature.
  • Order cupcakes for celebratory events such as birthdays and anniversaries.
  • Maintain central filing for common forms and replenish HR forms inside and outside the office.
  • Assist with planning, coordinating, and facilitating Team Member relations events including but not limited to: Team Member of the Month, Leader of the Quarter, End of Season Parties, Annual All Team Member Meeting, Team Member Appreciation Lunches, Summer Picnic and Holiday Party.
  • Prepare packets and meeting space for all on-boarding and training classes.
  • Update assigned reports including but not limited to Expense report, decal spreadsheet, MVR report, Accounting Gift card log, Phone list, new hire & termination reports.
  • Prepare or replace ID Badge & Nametags for Team Members.
  • Audit and order all office supplies ensuring they are replenished within a timely manner.
  • Attend job fairs and assist in job fair coordination as needed.
  • Attend training as scheduled.
  • Take Team Member photos for New Hire Orientation, company ID and as recipient of awards.
  • Maintain soda and snacks inventory for training room.
  • Complete monthly and quarterly audits.
  • Support, Assist other departments whenever possible through direct and indirect support.
  • Performs customer service functions by answering Team Member requests and questions.
  • Maintains I-9, MVR, and other binders with active Team Member information; removes terminated Team Member information where applicable.
  • Submits, requests, and assists with new-Team Member hire & onboarding.
  • Notifies Unum of new hires, terminations and pay increases.
  • Notifies HRConnect of New hires, address changes and terminations.
  • Adds new hires to MS Shift
  • Adds new hires to security gate visitor sheet.
  • Maintain Dart numbers both in UKG and in reporting.
  • Emails New Hires enrollment information for benefits
  • Assists with the processing of terminations.
  • Assists with the preparation of the performance review process.
  • Schedules meetings as requested by management.
  • Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  • Responsible for ensuring all assigned reports are up to date and accurate.
  • Practice excellent telephone etiquette (smile in voice be alert, courteous and helpful to our internal guests).
  • Assist Team Members with UKG questions, passwords reset, etc.
  • Assist Team Members with access to the Canteen system.
  • Maintain the highest level of confidentiality on Team Member issues & guest relations.
  • Maintain a professional and good working relationship with all Departments.
  • The ability to work various shifts or days of the week according to business needs.
  • Be familiar with all property amenities.
  • Performs other related duties as assigned.

Education, Skills, and Experience:

  • High School diploma required. College degree or equivalent work experience preferred.
  • Previous hospitality experience preferred.
  • Excellent verbal and written communication skills in English.
  • Able to communicate in other languages, Spanish preferred.
  • Knowledge and experience with UKG/HRIS preferred.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices, and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Excellent communication, people person, and interpersonal skills; ability to interact with a wide range of people.
  • Outstanding organizational, attention to detail, and problem-solving skills.
  • Proficient in Google Business, Microsoft Office Suite, or similar software.
  • Self-starter that can work independently with minimal supervision.

Physical Requirements:

  • Able to safely lift, pull and push up to 15 pounds.
  • Able to stand, walk, stoop, kneel, bend, and reach periodically.
  • Able to sit and use the computer for hours at a time.
  • Subject to environmental conditions, work activities can occur inside and outside.
  • Visually look at a computer for extended periods.
  • Repetitive hand motions, such as typing.
