Job Summary:
The Administrative Assistant of Human Resources will perform administrative duties related to the operations of the human resource office.
Supervisory Responsibilities:
- None.
Duties/Responsibilities:
- Answers and directs departmental phone calls.
- Receives and distributes office mail. Copies and laminates documents for locations as needed.
- Takes minutes during departmental meetings/calls.
- Proofreads and creates/translates documents and correspondence produced by department. Spanish/English.
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Performs other related duties as assigned.
- Employment Verifications.
- Timekeeping summary reports and authorization tracking and upload.
- Reboarding tracking and upload.
- Garnishment form completion.
- Minor work permit uploads/tracking.
- Scanning and uploading HR documents.
- Able to speak, read and write Spanish to take employee inquiries and statements.
Required Skills/Abilities:
- Excellent organizational skills and attention to detail.
- Ability to operate general office equipment.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite or similar software.
- Ability to maintain confidential information.
- Ability to read, write and speak Spanish at a fluent level.
- Basic knowledge of CA Labor Laws.
Education and Experience:
- High school diploma or equivalent required.
- Two years of administrative assistant experience preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Work Location: On-site Fremont Office
