Human Assets Coordinator


Role Mission:


The Human Assets Coordinator plays a crucial role in supporting both regional and national levels, facilitating streamlined efforts through effective communication across various departments. Their responsibilities encompass meeting the team's needs to enhance efficiency and strategic collaboration. This involves organizing logistical aspects of virtual and in person meetings, managing calendars, and assisting with team budget tasks such as AMEX reconciliation and staff reimbursements. The Coordinator serves as an exemplary figure in the Human Assets Team, actively contributing to the realization of IDEA's vision by championing and modeling a joyful culture of high performance through relationships, results, and retention.


The Human Assets Coordinator will support the Compensation and Benefits (75%) and Staff Culture and Belonging (25%) teams.


Location:


This is a full-time remote position based in Texas with preference given to candidates who live in Austin, El Paso, Houston, Permian Basin (Midland/Odessa), Rio Grande Valley, San Antonio, and Tarrant County (Fort Worth), or who are willing to relocate.


Travel Expectations:

Ability to travel 3-5 times a year as needed


What You’ll Do – Accountabilities


In this role you will:


Manage the team budget to ensure timely payouts and proper reconciliation of expenses.

  • Reconcile team’s AMEX Card monthly expenses which includes ensuring that all purchase card transactions have adequate description and appropriate codes, request missing receipts from purchase card holders and are submitted for reconciliation within established deadlines. Create and maintain tracking systems for team members to submit substantiating documentation.
  • Process per diems and travel requests on behalf of supported team members.
  • Ongoing training, development, and support of team members as it relates to fiduciary responsibilities of each team member.
  • Submit and enter requisitions based off of quotes/invoices received with proper account string and follow up with business office to ensure vendor payment through Purchase Order Process or Request for Check.
  • Work closely and develop a business partnership with Accounting, Budgeting, and Procurement to ensure proper budget monitoring.
  • Identify and communicate budgetary concerns to team VPs, ensuring that expenses align with spending goals.
  • Attend all necessary business office trainings.


Coordinate team logistics for events and meetings as needed.

  • Organize and manage logistics for various activities within and in support of the supported team members, such as travel.
  • Schedule meetings, ensuring smooth coordination.
  • Select and provide suitable meals that align with these team dietary needs.
  • Oversee all print and digital materials used in training sessions.
  • Ensure the availability and readiness of materials for effective training/meeting.
  • Handle reservations for both trainings and events as appropriate
  • Coordinate logistical aspects to ensure smooth operations during these occasions.

Additional Duties as Assigned


  • Thoroughly review each Tuition Reimbursement Application submitted through the Tyler Munis system and ensure that all required information and supporting documentation are provided.
  • Update internal Hub Site for Teacher Recognition Programs, and Total Rewards Policies.
  • Support Total Rewards Manager and Director of Staff Culture & Belonging with Teacher/Co-Teacher of the Year and Core Value Exemplar Nomination Process alongside campuses, regional, and national stakeholders.
  • Coordinate and schedule meeting times with stakeholders to provide updates on Total Rewards Programs.
  • Prepare clear and informative emails detailing relevant information about fringe benefits. Distribute the drafted emails to designated staff members through the designated communication channels.
  • Support with Vehicle Allowance Policy Administration, Housing Allowance Policy Administration, and Relocation Policy Administration through Employee Information Systems and Payroll processes to provide timely payouts to employees.
  • Partner with Talent Development on National Board Certification Reimbursement and Payment Processing.

Knowledge and Skills:

  • Proficiency in use of Word, Excel, PowerPoint, and other Microsoft Office related programs.
  • Candidate should have the ability to implement and follow on policy and procedures; present clear and compelling communication to internal and external stakeholders .
  • Work in a fast-paced environment while meeting established deadlines; research, analyze, report and and work on complex problems in which analysis of situations requires an in-depth evaluation. Knowledge of Tyler Munis preferred.


Required experience:

  • Education: Bachelor’s degree preferred. Relevant experience or equivalent combination of education and experience is also acceptable.
  • Experience: One to two years preferred at a school system or nonprofit; experience managing cross-functional projects and teams in a large, mission-driven organization


What We Offer:


Compensation & Benefits:

Salaries for people entering this role typically fall between $20.34/hr and $25.42/hr, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment.
