Job description

We are seeking a HR Shared Systems Specialist - Processing Team who will be responsible for the processing and support of all HR life cycle transactions in the Johns Hopkins University and Health Systems' HRIS. The HR Systems Specialist -Data Quality is responsible for supporting HR functional work by maintaining HR/Payroll Systems including resolving and trending HR data quality audits, ensuring Customer Management System tickets are triaged, monitored and resolved timely, and acting as point of escalation for others in HR Shared Services. Additionally, the HR Systems Specialist will partner with other HRSS teams in coordinating the mass load of data to the HR/Payroll ERP (Enterprise Resource Planning).


HR/Payroll Shared Services provides enterprise HR and Payroll support to Johns Hopkins entities utilizing SAP EC, Fiori tools, Employment Actions (Mendix), Organizational Management Tool (Mana), Winshuttle, Business Warehouse, and Query Manager reporting tools. HR/Payroll Shared Services supports Johns Hopkins University and Johns Hopkins Health Systems with more than 60,000 employees, faculty and students, over 50 states and 3 payroll cycles (Semimonthly, Biweekly, and Weekly).


Specific Duties & Responsibilities

  • Develop and maintain a thorough understanding of HR ERP functionality including how the HR module interfaces with other modules and systems.
  • Ensure identified data quality audit processes are completed timely.
  • Utilizing process improvement methodology ensure work streams are routinely reviewed for opportunities for improvement.
  • Triage and categorize Customer Management System tickets.
  • Lead and participate in large scale mass data loads and manual system updates.
  • Monitor and resolve HR System Automation for errors in functionality.
  • Resolve HR data quality issues escalated from other HR Shared Services team members.
  • Provides HR Shared Services leadership with weekly, monthly, quarterly and annual reporting of work volume from the Customer Management System and other workloads.
  • Provide documentation of HR Systems procedures and data standards.
  • Ability to identify cause/effect relationships and solve root-cause issues.
  • Provide training and technical support of the Customer Management system to others in HR Shared Services.
  • Monitor HR Policy and process changes related to the HR/PY Shared Services website and initiate updates as needed.
  • Assist management with establishing and improving upon defined HR/Payroll Shared Services procedures and processing methods to meet production and performance goals efficiently and accurately.
  • Work with all staff members within HR Shared Services to create and manage effective relationships within the unit and build relationships enterprise-wide.
  • Responsible for creating a work environment that maintains confidentiality.
  • Provide support to HR/Payroll team members as needed on meeting assigned deadlines.
  • Other duties as assigned.

Minimum Qualifications
  • Bachelor's Degree in Human Resources, Information Systems or Business Management.
  • Five or more years of related HR/HRIS/HR Systems experience required.
  • One year's experience working in an enterprise resource planning environment or other HRIS/HRMS position.
  • Additional experience working in a Human Resource ERP, IT unit, Business Analysis or as a Business Analyst can be substituted for education.

Preferred Qualifications
  • Systems thinking mindset with a focus on improving the user experience.
  • Proven process improvement and project management skills a plus.
  • Experience creating project plans and/or using project management software.
  • Problem solving and root cause identification skills; solid analytical and technical skills.
  • Ability to create collaborative work environment with all levels of employees.
  • Knowledge of HRMS database design, structure, functions and processes, and experience with databases tools.
  • Strong knowledge of MS Office including Word, PowerPoint, and Access. Advanced Excel skills are required.
  • Detail oriented.
  • Demonstrated ability to meet deadlines and prioritize work assignments.
  • Excellent oral and written communication skills.
  • Ability to communicate effectively with various levels of management.
  • Strong customer service orientation.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
