Position Summary:

In support of the Agency's mission, the Employee Leaves Coordinator assists employees with the administration of applicable federal and state leave regulations, other agency leaves and related agency policies and procedures. These leaves include Oregon Sick Leave, Paid Leave Oregon (PLO), OFLA & OFLA Bereavement, FMLA, Workers Compensation and other agency leave benefit programs. This position maintains a timely and accurate leaves spreadsheet used by HR and Payroll and requires accuracy, attention to detail, and excellent time management skills to complete multiple components of these tasks. The incumbent must demonstrate and model effective collaboration and communication skills, including maintaining confidentiality and exercising extreme tact and discretion.

Essential Functions and Responsibilities:

  • In support of the human resources service delivery function, administer and coordinate activities related to federal, state and agency Employee Leaves.
  • Research and stay abreast of changes in federal, state, and other guidance pertaining to Employee Leaves. Attend related leave training programs and seminars and follow strictly prescribed regulatory processes.
  • Assist staff with leave information and procedures, issue appropriate leave notices, requests for medical certifications and subsequent approval or denial notices in accordance with all applicable regulations, policies and eligibility requirements.
  • Maintain all employee leave related files, central spreadsheets, generate reports and maintain and update OSHA 300 log for required annual filing.
  • Coordinate with Payroll, Supervisors, Managers and Directors as appropriate for employee leave case changes and or issues.
  • As requested, assist the HR Business Partners and/or HR Director with employee leave related reporting and special projects as assigned.
  • Strictly adhere to all safety policies and procedures at all times and respond/correct any at-risk safety issues immediately.
  • Demonstrate regular and reliable attendance and adherence to all company workplace behavior standards.
  • Perform other related duties assigned to meet HR business needs.

Marginal Functions and Responsibilities:

  • Other marginal functions and responsibilities as assigned such as filing, copying, etc.

Required Education/Training/Experience:

  • Combination of education and experience equivalent to an Associates (AA) degree equivalent with a minimum of two years' experience working/following detailed prescribed and regulated processes and procedures including handling sensitive communications with tact, courtesy and discretion and maintaining accurate detailed documentation. An equivalent combination of education and experience may be considered.
  • Demonstrated proficiency with Microsoft Office software products.
  • Excellent verbal and written communication skills.
  • Experience working with and securing/maintaining highly confidential sensitive files and information.
  • Excellent time management skills and multi-tasking abilities.
  • Willingness to research and stay abreast of federal, state, and other guidance pertaining to Employee Leaves on an ongoing basis.

Preferred but not required:

  • Experience working with Human Resources functions.
  • Working knowledge of ADP HR system
  • SHRM-CP or PHR
  • Bilingual in Spanish

Required Physical Demands of Essential Functions and Responsibilities:

  • Most work is conducted in an office environment with moderate to extensive phone use.
  • Extensive use of computer and keyboarding.
  • In normal work day, may stand/walk __3__ hrs/day; may sit _5_ hrs/day; may drive __2 hrs/week; may use hands for repetitive grasping, pushing and pulling, typing and fine manipulation _2_ hrs/day; may use hands at or above shoulder level for _2_ hrs/day.
  • In normal work day, may bend, squat, and/or climb occasionally.
  • Work is light in nature, lifting maximum of 30 lbs.
  • Frequent lifting and/or carrying of objects weighing up to 20 lbs.
