Job description

JOB SUMMARY: The person in this position will provide support to Rhode Island Primary Care Physicians Corporation (RIPCPC) in 2 main areas that are crucial to operations and organizational success: 1) Human Resources – supporting various functions, particularly those related to payroll, onboarding new employees, and administrative functions related to supporting current employees, and 2) Clinician credentialing functions. The HR Specialist will report to and work primarily with the Human Resources Manager. This person will also support the Executive Administrative Assistant and other members of leadership and department directors as needed.

ESSENTIAL JOB FUNCTIONS:

General Responsibilities:

Human Resources functions

  • Prepare weekly payroll run for final approval from HR Manager – including reviewing timesheets, miscellaneous situations regarding processing of pay changes, bonuses, employee record changes, and processing payroll in system in preparation for final review and approval.
  • Assist employees with HR related questions and issues and ensure appropriate follow-up either through final resolution or escalation of issue to HR Manager or another member of leadership.
  • Work with incoming new hires to obtain information needed for background checks, process background checks, conduct checks, and monitor for completion.
  • Provide information required for onboarding and Information Technology (I.T.) account setup and equipment assignment to appropriate stakeholders.
  • Administer new hire paperwork, processes, and benefits information to new hires upon offer acceptance while addressing questions and/or raising to HR Manager as appropriate.
  • Ensure new hire paperwork is completed, collect other necessary pre-start information such as immunization records, and communicate with stakeholders and incumbents regarding any missing pieces.
  • Monitor and maintain data in HR Information System including but not limited to employee personal information, employment related information, timecard updates, etc.
  • Maintain employee files (both electronic, and paper when applicable) for all employees as required by company policy and state and federal law.
  • Work with internal hiring managers, external applicants, Human Resources Manager, I.T. department, and other stakeholders to identify and communicate any issues resulting in any negative experiences through the process.
  • Reconcile data changes in HR Information System with other related systems and sites such as the employee benefits site, Learning Management System, and other pertinent systems.
  • Partner with hiring managers and stakeholders to assist at various points in the recruiting process – such as posting positions, reviewing/ collecting/ distributing resumes, scheduling interviews, and administration of various steps during the recruiting and employee life cycle.
  • Maintain working knowledge of organization policies and procedures and apply them to all responsibilities.
  • Other duties as assigned and other possible opportunities in accordance with competencies and interests.

Clinician Credentialing functions

  • Responsible for maintaining active roster of participating physicians and advanced practitioners, including submitting necessary paperwork to insurers and other key stakeholders.
  • Management of intranet site to ensure accuracy of provider information.

QUALIFICATIONS:

This position requires management of multiple priorities simultaneously, accuracy in daily work, and the ability to remain calm and organized while working with matters that have great impact on people.

Required:

  • Associate degree or equivalent work experience.
  • Demonstrated ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Ability to work independently and collaboratively to achieve goals.
  • Highly organized and detailed.
  • Excellent interpersonal skills.
  • Excellent written and verbal communication skills.

  • Ability to maintain confidentiality in accordance with HIPAA.

Nice to have:

  • SHRM-CP or PHR Certification, or interest in pursuing such.
  • Familiarity with employment law and compliance.
  • Familiarity with HR Information / payroll systems.
  • Proficiency with computer skills (i.e., Microsoft Word, Excel and Access, and Web-based applications).

Physical requirements:

  • Prolonged periods sitting at a desk and using a computer.
  • Able to sit/ stand/ walk for long periods of time.
  • Able to maintain privacy and security of workspace.
