Reporting to the Talent Acquisition Supervisor team, the successful applicants’ primary responsibilities will include supporting the Talent Acquisition team with administrative and recruitment tasks and projects. Responsibilities include, but are not limited to: Calendaring and meeting coordination; accessing and managing recruitment files; creating recruitment materials (interview packets, screening grids, itineraries, etc.;) assisting with website maintenance, screening, creating job postings, preparing reports and presentation material; coordinating reference checks; coordinating reservations; ordering recruitment materials and supplies; inventory & file management; replying to customers in person, over the phone, via email, etc. and other duties as assigned.

Minimum Qualifications
- Experience as an HR Assistant or in a relevant administrative support role.
- Working understanding of HR functions, principles and best practices.
- Experience in managing and maintain accurate and complete files/archives (electronic, chronological, alphabetical, numerical, and subject filing systems).
- Experience with budget management and data tracking
- Proven ability to independently prioritize assignments when faced with heavy workload, change in assignments, and administrative deadlines.
- Excellent customer service skills, response and escalation protocols, professionalism and service quality and integrity.
- Strong independent decision making and problem-solving skills and experience.
- Proficiency in standard computerized and networked business applications: word processing (e.g. Microsoft Word), spreadsheet (e.g. Excel), communications and scheduling (e.g. Outlook) and willingness to expand and update skills as needed.
- Excellent organizational and time-management skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
- Experience in academic and/or healthcare environment.
- Knowledge and experience with HR tools such as ATS and HRIS, and the ability to learn new systems and processes for recruitment/employment efforts.
- Knowledge of healthcare and/or academic policies.
