Summary: The Human Resources Specialist is responsible for reviewing and direct all human resource initiatives that concern employee recruiting, benefits, and all health and wellness programs by utilizing IHS policies and procedures.
This will be achieved by performing the following duties.
Essential Responsibilities include the following. Other duties may be assigned.
  • Hands-on engagement in understanding and applying Lean.
  • Maintains an unrelenting focus on improvement and providing customer value.
  • Makes learning and practicing of Lean principals a daily priority.

Employee Recruitment and Onboarding Duties:
  • Directs the full cycle recruitment process from sourcing, screening, interviewing, extending, and negotiating employment offers.
  • Reviews and distributes employment applications, and coordinates interviews; coordinates new employee onboarding efforts by providing successful candidates with electronic enrollment packets via EGForce.
  • Processes new hire paperwork, database entry, and continually update employee files.

HRIS Oversight Duties:
  • Provides oversight to HRIS ensuring data accuracy and filing systems accuracy; ensures record employee files stored inside EGForce comply with federal, state, and local requirements for form-I9's, personnel files, medical files, and any employment verifications.
  • Maintains employee personnel files and required paperwork that is consistent with company policy.
  • Ensures naming and storage protocols are followed and educated to managers; uploads to EGForce scanned documents, required certifications, licensure, and any other appropriate documentation.

Company Benefit Administration Duties:
  • Responsible for oversight of the IHS health and welfare benefits program through efficient administration and analysis. Manages open enrollment cycles, benefits billing cycles, ensures compliance support, and processes reporting requests.
  • Manages annual and interim benefit open enrollment process by arranging distribution of materials received from carriers, communicating changes to IHS team members, and processing benefit changes within identified deadlines.
  • Plans and directs the IHS wellness program by ensuring that educational materials remain fresh, employee participation is optimized, and record collections are efficient; works with vendor partners to optimize their contributions and maximize the IHS's benefit offerings.
  • Oversees vendors and third-party administrators, ensuring the transfer of data for services, premiums, and plan administration are accurate.
  • Proactively identifies and escalates company benefit changes or issues to the manager.

Leave of Absence and Workers Compensation Administration Duties:
  • Manages IHS leave of absence administration through educating and partnering with managers.
  • Fields requests for leave of absence from employees and acts as the liaison between employee, IHS, and Employers Guardian.
  • Collaborates with Employer's Guardian on compliance issues, staying current on Leaves of Absence, Workers Compensation Claims, and ADA accommodations while taking actions that ensure compliance with applicable federal, state, and local requirements.
  • Ensures communication is timely, and documentation is received or distributed to appropriate employees. Keeps managers informed of progress as well as checkpoints of contact when necessary.

Other Duties:
  • Acts as subject matter expert for all employee questions regarding policies and procedures, leave of absence entitlement, and employee benefits.
  • Performs quarterly audits to ensure IHS standards are being maintained.
  • Acts as backup for payroll administrator and processes payroll in compliance with regulatory requirements; submits payroll information to appropriate parties, and resolve payroll discrepancies.

  • Education and/or Experience: Bachelor's degree (B. A.) from four-year college or university; or two to three years related experience and/or training; or equivalent combination of education and experience.
