Position Purpose / Purpose / Principal Responsibilities:
The purpose of this position is close out the day in the PMS, ensure overnight guest safety, assist guests with late check-ins and any special requests such as vehicle retrieval, provide various cleaning services, and to set the team up for success upon completion of shift.
Example of Duties / Essential Functions:
- Welcome guests to the Shepherd Hotel, and provide a courteous and efficient check-in and check-out experience in a friendly manner
- Run the various reports in APS to close out the day. Report any abnormalities to AGM.
- Log any guest related or other pertinent information in the Reception Log.
- Clean the floor in the lobby, dust, prep the lobby / restaurant for the next day.
- Complete the Daily Operations Report accurately.
- Secure hotel (locking exterior doors), monitor cameras.
Supportive Functions:
- Assist fellow team members and other departments wherever necessary to maintain positive working relationships.
- Provide late-night guests with any special requests.
- Ensure seamless transition to early morning team (kitchen, PAC, etc.)

Safety Requirements:
Personal Protective Equipment (PPE) will be required to perform work duties that may have the potential of risk to your health or safety. The hotel will provide the required PPE. Team members will be trained in the proper use and care of any assigned PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly to your manager. In accordance with this Job Description there are no tasks that require PPE but there could be times you’re asked to assist, and PPE would be involved.

Specific Job Knowledge, Skill and Ability:
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.
- Speaking with guests in a calm, compassionate and caring manner is paramount to this role as they are welcomed at the hotel or addressed when handling requests.
- Ability to multi-task: check-in / out, provide information on hotel, park / retrieve vehicles, clean, act as “security”, communicate with managers when issues arise.
- Ability to regularly use the Above Property system (hotel’s property management system) as well as a computer and/or iPad.
- Ability to read, write and speak English.
- Ability to communicate effectively with guests and other team members verbally and / or in writing.
- Ability to follow all safety procedures / standards and able to recognize and act in emergency situations.
- Ability to learn and use various software applications (Asana, Outlook, AboveProperty, Microsoft Office).
- Ability to use Camera Security system and phone system (transferring and un” transferring phone to personal device).
- Ability to count cash and maintain a cash drawer.
Success Factors: (how you’ll know you’re successful)
- APS is balanced each night, reports run; set morning team up for a successful day.
- The Reception Log is updated ensuring your teammates know what happened overnight.
- Lobby / restaurant floors are cleaned, lobby area prepared for next day.
- The hotel is secure (locked) at the designated time (and opened in the morning) including a walk-through of the hotel ensuring.
- All off-hour guest activities (check-ins, vehicles, special requests, etc.) are handled in “The Shepherd Way”.
Qualification Standards
Education: High School diploma, technical college, or some college.
Experience: Working overnight (11pm – 7pm) not required but preferred, hotel reception (front desk) preferred, prior hotel experience preferred, working in a high-volume customer service position required.
Licenses or Certificates:
- Valid driver’s license needed (in case guests leave early, late, and you’ll need to park / retrieve their vehicles)
Grooming / Uniforms
All team members must maintain their provided uniform in a neat, clean, and well-groomed appearance as is expected by our guests. Specific uniform guidelines and / or required articles of clothing will be explained to you as part of the orientation process. We want to hire individuals, but “uniforms” are to be worn in a uniform manner, consistent with the level of professionalism we want to convey to guests.

Notice: The hospitality business functions seven days a week, twenty-four hours a day. In addition, this is a hospitality business, and a hospitable service atmosphere must always be projected. We also employ individuals with disabilities thus the Night Manager should exhibit a compassionate, tolerant, and patient demeanor when interacting with all team members.
