Position: Sr.Billing Specialist

Locations: Washington, D.C.

Full time: Yes (Hybrid) Hours: 9 am to 5 pm
Salary range: $80,000-$110,000 (Depending on experience)

Job Description: 
The Senior Billing Specialist's role involves supporting attorneys in creating client invoices and handling overdue accounts. This position provides both administrative and accounting assistance to the legal and accounting teams. Responsibilities include addressing billing inquiries, investigating billing issues, preparing and distributing billing proformas, invoices, and related reports. The specialist is responsible for managing client accounts in line with billing agreements, including required upkeep. They also handle delinquent accounts, ensuring appropriate follow-up actions are taken. Additionally, this individual serves as a billing consultant to attorneys, ensuring all financial transactions are accurately recorded in compliance with accounting norms.

Duties and Responsibilities:

  • Perform daily billing activities to support Partners and Clients, including generating and editing proformas, creating timecard summaries, updating rates for matters and Timekeepers, and producing client reports as requested.
  • Ensure monthly invoice timeliness, accuracy, and acceptance, with persistent follow-up with Billing Partners to resolve client billing issues and secure invoice approval.
  • Understand and correctly implement client Outside Counsel Guidelines and fee arrangements.
  • Process electronic invoices (EDI) accurately and efficiently.
  • Maintain a high level of detail-orientation and the ability to manage multiple tasks in a fast-paced environment.
  • Demonstrate advanced communication skills, professionalism, and courteous interactions with attorneys, staff, vendors, and clients, upholding client and firm confidentiality.
  • Collaborate effectively with the billing team, finance team, and other firm departments.
  • Assist in special projects and assignments for local or corporate billing management, such as testing, pilot programs, policy discussions, and process improvements.
  • Aid in training and mentoring new and less experienced billing staff, optimizing department efficiency through effective use of billing assistants.
  • Manage billing operations for the firm's largest and most complex client relationships, involving intricate billing arrangements, and provide advisory support to attorneys on billing matters.
  • Consistently handle administrative responsibilities effectively, including green sheets, UDF updates, electronic submissions/appeals, and managing unallocated balances.
  • Carry out additional duties as assigned.

 

Qualifications:Education and/or Experience: 

Required:

  • At least five years of experience in a Billing Specialist role within a law firm.
  • Proficient in billing with extensive knowledge of 3E and E-billing systems.
  • Proven capability to handle the most significant and complex billing arrangements, ensuring top-quality service and customer satisfaction.
  • Talent for identifying and implementing operational improvements and establishing best practices.
  • In-depth expertise in providing mentorship to other billing professionals and supporting management in special projects.
