The Florida Department of Children and Families (DCF) is the state of Florida's social services agency. Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders.

Florida State Hospital (FSH) is a mental health treatment facility owned and operated by the State of Florida and is part of the Department of Children and Families. The department's mission is to "work in partnership with local communities to protect the vulnerable, promote strong and economically self-sufficient families, and advance personal and family recovery and resiliency."

This is a highly responsible and professional position that will serve as Health Information Specialist - F/C. This position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented. 

 

Specific Duties and Responsibilities include:

  • The incumbent must spend at least 75 percent of his or her time performing duties which involve contact with patients or inmates in a correctional or forensic facility or institution. This is a highly responsible and professional position that will serve as the Health Information Specialist within the Health Information Services Department at Florida State Hospital. This position will collaborate with each section within the program office and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.
  • Serves as backup support to the Health Information Specialist and Clerk Specialist in every unit in maintaining a clinical record for all residents. This includes the movement of residents, admissions, discharges, and filing and thinning of master records and ward charts when necessary.
  • Maintains the inactive/discharged/death clinical record by ensuring the transfer of all inactive records from all units to Central Health Information Services after one year of inactivity. This includes making sure all volumes are received, properly labeled, and contains appropriate discharge paperwork, then filed in correct numerical order in the Inactive Record Room.
  • Maintains the clinical records/charts for the Medical Services Unit, which includes thinning of all charts on admission and during inpatient stay as needed. Also copies necessary documents of inpatient stays required for inpatient billing. Enters all resident movement for the Medical Services Unit (including Medical Hospital Transfers) on same day of transfer or by 9:00 am next business day if transfer occurs after normal business hours.
  • Ensures all records that have met the retention period are removed from folders and prepared for destruction.
  • Other related duties as requested or assigned.

 

Knowledge, Skills and Abilities required for the position:

  • Knowledge of the procedures for securing, accumulating, processing, preserving, retrieving and controlling the distribution of medical records.
  • Knowledge of the procedures for coding, classifying, indexing and filing medical records manually and/or electronically.
  • Ability to use a nomenclature and classification system.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.

 

Minimum Qualifications:

  • Certification as an Accredited Record Technician by the American Medical Record Association; or
  • Three years of experience in compiling, maintaining, and coding medical records.

 

Preference will be given to applicants who have:

  • Medical Records experience.
  • Current employment at Florida State Hospital.
