JOB TITLE:Guest Services Coordinator
This position requires a high degree of confidentiality, compassion, multitasking, and the ability to switch projects while maintaining efficiency and accuracy. Responsible for guest interactions, information, and scheduling, this position serves as administrative support for the Guest Service and Program Managers.
EXAMPLE OF DUTIES AND RESPONSIBILITIES:
- Answer phones and greet guests.
- Appointment scheduling, follow-up confirmation calls, and assisting with new guest intakes.
- Ensuring guest communication is handled professionally, confidentially, and efficiently.
- Assist Program and Guest Services Managers with administrative support.
- Responsible for various housekeeping tasks.
- Set up and break down special programs and workshops.
- Required to work on WeSPARK fundraising events, and special programs as needed.
- Act as support staff for all departments with organizational projects as needed.
- Other duties as assigned.
QUALIFICATIONS, EXPERIENCE & SKILLS:
- Preferred - 3 years of relevant experience (medical office, spa, front office management).
- Preferred - Associate's Degree.
- Required - Proficient working knowledge of Microsoft Office Suite.
- Preferred - Working knowledge of Mindbody & DocuSign – NOT Required,Will train
- Ability to communicate effectively, both written and oral.
- Ability to learn software with ease, and willingness to self-teach.
- Ability to work with guests, staff, and volunteers patiently and professionally.
- Must be highly organized and be able to efficiently multi-task.
- Required – Legal to work in the United States.
- Required - to work (2) weekend and (2) evening fundraising events per year.
- Required – Valid driver’s license, current automobile insurance, and reliable transportation.
- Required - Proof of COVID-19 Vaccination, booster vaccines are not required.
