A day in the life of the Group Vacation Travel Specialist may include:

  • Planning and executing operations of Select groups by working with vendors, hotels, or ground transportation companies on details prior to group arrival.
  • Coordinating air for group air blocks including deposits, reductions, and final name lists.
  • Responsibility for finalizing air details for group departures in conjunction with Group Air.
  • Assisting with maintaining group blocks for reduction dates, deposits, and final payment dates.
  • Processing individual and group payments to vendors and follow up on confirmations.
  • Coordinating with suppliers to ensure current discounts for group departures.
  • Assisting with developing and maintaining sell sheets for group departures.
  • Communicating supplier discount adjustments and revised sell sheets/dashboard with advisors and marketing.
  • Finalizing group accounting with vendors and sending net final payments. Determining amount of commission or overpayment due to Fox World Travel (FWT).
  • Communicating with FWT accounting regarding cancellations and pricing adjustments.
  • Monitoring and maintaining group inventory for booking and payment information in GroupMinder on a system level and updating team as needed.
  • Coordinating with marketing for graphics, documents, brochures, website integration, assistance with writing copy, and submitting final proofs for approval.
  • Responsibility for keeping up to date with GroupMinder software changes and communicating changes to advisors and associates.
  • Monitoring and making additions to master group calendar and completing necessary tasks.
  • Accompanying groups as either a “Tour Manager” or support staff when requested.
  • Assisting team members with the day-to-day operations and providing mentoring or back up as needed.
  • Assisting with operations and booking for media groups.
  • Answering calls and monitoring web email to process bookings on group space.
  • Reconciling preliminary accounting reports with the group database to ensure they are accurate with regard to sales and payments.
  • Assisting and participating in recorded webinars that are sent to Fox Group Vacation travelers with travel documents and detailed information regarding their upcoming trip.
  • Updating knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks.
  • Maintaining a favorable and collaborative working relationship with co-workers in all departments to foster an environment of trust and mutual respect. Driving standards and best practices whenever possible and effectively fostering a culture of engagement.
  • Enhancing the organization’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Being innovative and recommending new approaches, policies, and procedures to effect continual improvements in efficiency of operations and services performed.
  • Other duties, projects and alternate assignments as determined by business need.

  • Group Vacation Travel sales or group travel sales (preferred).
  • Group airline ticketing background in Travelport GDS (preferred).
  • Proficiency in internet use, Microsoft Word, Excel, PowerPoint, Publisher, Outlook, and Adobe.
  • Intermediate-level typing ability.
  • Possession of or can obtain a U.S. Passport.
  • Experience with basic graphic design (preferred).
  • Domestic and international travel experience (preferred).

Occasional business travel, overnight stay may be required for training events and to visit Fox World Travel locations.

The incumbent may occasionally be required to lift up to 50 pounds

Incumbent must be able to travel by airplane, rail, boat and/or car at any given time as required by the position. Ability to drive to client and company locations.

This role routinely uses standard office equipment including but not limited to computers, a headset, a mouse, a keyboard, photocopiers, and filing cabinets.
