The Bing Overseas Studies Program (BOSP) offers Stanford undergraduates the opportunity to study away and abroad while remaining enrolled at Stanford and is considered an integral part of the Stanford curriculum. The demographic breakdown of BOSP participants closely mirrors that of the entire Stanford population. Approximately 50 percent of each graduating class studies abroad on a BOSP program during their undergraduate career at Stanford. Due to the high visibility of our programs and diverse cultural environments, BOSP places a high value on professionalism, teamwork, outstanding student services support, as well as excellent written and oral communication skills.
BOSP is currently in search of a dedicated Global Operations Manager who will report to the Director of Finance and Administration (DFA). In this pivotal role, you will partner closely with our Stanford programs located in Australia, Berlin, Cape Town, Florence, Hong Kong, Istanbul, Kyoto, Madrid, New York, Oxford, Paris, and Santiago and collaborate closely with Stanford University departments, including but not limited to Financial Management Services (FMS), Global Business Services (GBS), Office of the General Council (OGC), Privacy Office, and more! Areas of primary responsibility include Global Operations and entity support, facilities and global procurement management, and ownership of technology for administration and education. The international dimension of your role requires the ability to interface with staff worldwide and an understanding of diverse cultural and operational landscapes.
As the Global Operations Manager, you will have the unique opportunity to join a dynamic, mission-driven global team. Your responsibilities will revolve around overseeing and enhancing the administrative and operational processes within BOSP's Finance and Administration team. In this role, you will:

  • Manage and provide Global Operational support and collaborate closely with the DFA and Executive Director where needed to ensure smooth Global Administration
  • Collaborate with the DFA, Global Business Services, and other internal and external partners to support BOSP's role in global entity registration, operation, maintenance, and compliance.
  • Participate in the evaluation of programs and functions within the Finance and Administration team in order to improve policies and procedures. Identify issues with existing policies and procedures and develop alternative solutions which may contribute to changes to operational programs, policies, and procedures.
  • Work in collaboration with BOSP leadership and Global HR to manage and optimize Global HR-related processes.
  • Support the successful administration of the ongoing global HR compensation, bonus, and benefits processes, including supporting the annual compensation budgets for each study away center as well as our home office
  • Develop and maintain BOSP's global procurement procedures. Work with campus partners to maintain accurate delegation of authority and power of attorney.
  • Oversee the creation and renewal of agreements for collaboration between BOSP and external academic partners.
  • Liaise with Stanford Privacy Office and country specific external partners to facilitate BOSP's compliance with data protection regulations around the world.
  • Participate in the revision and analyses of operational trends to advise and develop recommendations to achieve or modify the goals and operational processes
  • Participate in the management of operational projects globally, including various country-specific initiatives, and support successful deployment of global strategic working groups and international partnership negotiations.
  • Represent the operational needs of BOSP within VPUE, internal and external stakeholders, and provide training as needed
  • Contribute to the development of an outreach strategy, including relationship development, communications and compliance.
  • Serve as BOSP's Department Property Administer (DPA) to maintain accurate property records for BOSP's facilities/leases globally with department and campus partners.
  • Liaise with VPUE IT group and local BOSP staff to ensure adequate technology support for BOSP global staff and centers, especially in relation to workgroup management, shared resource calendar/s, Global technology asset (and software) procurement and disposal, process creation and management.
  • Manage the creation of Global Operations process documentation
  • May participate in the development of budgets, including monitoring, analyzing, forecasting, and reporting.
  • Assess training needs and may develop associated training.
  • May direct the work of other staff where operationally necessary
  • Travel to school/unit sites across university
  • Constantly perform desk-based computer tasks. Frequently stand/walk, sitting, grasp lightly/fine manipulation. Occasionally use a telephone. Rarely lift/carry/push/pull objects that weigh 11-20 pounds.

To be successful in this role, you will bring:
  • Bachelor's degree and 5 years of relevant experience, or combination of education and relevant experience.
  • Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  • Demonstrated creativity, problem-solving, critical analysis, initiative, judgment and decision-making skills.
  • Demonstrated experience leading and managing distributed operations under minimal supervision.
  • Demonstrated ability to develop and meet budget goals.
  • Demonstrated solid planning and organizational skills.
  • Demonstrated experience working independently and as part of a team.
  • Excellent interpersonal, written and oral communication skills.
  • Strong relevant subject matter knowledge.
  • Ability to direct the work of others.

In addition, preferred requirements include:
  • Experience in HR and/or working an international organization.
  • Functional experience in operations, contract management, or project/team management desirable.
  • Experience in international development, education, or business is preferred.
  • Demonstrated experience in management of projects, including project planning, scheduling, tracking, and coordination.
  • Strong communication skills to effectively educate internal and external audiences.
  • Strong problem-solving skills to tackle and assess complex Operational functions
  • Comfort with technology and data management.

The expected pay range for this position is $69,000 to $141,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
