The Administrative Assistant will undertake administrative tasks, ensuring the property management staff has adequate support to work efficiently.
MAJOR DUTIES:
The primary task of the Administrative Assistant will be answering phone calls from the tenant population. Depending on the nature of the call the assistant will have to dispatch the call to building contractors such as operations and maintenance contractor, janitorial contractor, elevator contractor, etc.
The position requires computer proficiency with the software that GSA uses. This includes but is not limited to Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Gmail, Google Drive (ability to use, share, and edit documents on the drive), Google Calendar (share various calendars / schedules). The candidate will be required to have knowledge and be proficient with the National Computerized Maintenance Management System (NCMMS). NCMMS requirements include but are not limited to, input work orders, check on the status of existing work orders and generate various reports.
The property management office will also have a significant amount of walk-in traffic from the public and tenant base. This position requires strong interpersonal and customer service skill to handle various questions and complaints. The Administrative Assistant will be required to update emergency contacts for each agency These contacts will be used by the Administrative Assistant to notify (by phone or email) each agency on emergencies in the building.
Other duties include, but are not limited to:
- Answering basic building information questions from building occupants and visitors
- Issuing and tracking parking permits for the loading dock
- Issuing and tracking keys to tenants for mechanical spaces
- Booking common and joint use areas (conference rooms, lobbies, etc.) and answering basic questions regarding the use of these spaces
- Assisting tenants with operating the audio / visual (A/V) equipment and general functionality of the conference rooms
- Recording detailed meeting minutes, as required
- Overseeing the proper operation of office equipment such as copiers, shredders, laminators, etc. to include replacing supplies, emptying, cleaning, etc.
- Developing and maintaining a filing system and maintain general contacts list.
- Tracking government vehicles usage and maintenance
- Key control
- Credentialing assistance
WORK HOURS: Monday - Friday (8:00 AM - 5:30 PM - half hour lunch break daily)
